    Purpose / General Description:

    The Fleet Maintenance Coordinator is responsible for the planning, scheduling, and coordinating preventative maintenance and corrective repairs on fleet vehicles. The Fleet Maintenance Coordinator collaborates effectively to ensure activities are completed efficiently and on-schedule to maximize fleet availability and customer service.

    Essential Duties and Responsibilities:

    • Maintain the schedule for vehicle services: Review DVIR and schedule repairs. Coordinate PM schedules or corrective repairs at the shop or outside service providers. Coordinate towing services, roadside assistance. Communicate status with dispatchers.
    • Manage service activities in the shop: Arrival: With Fleet Mgr. and Lead Mech., inspect and assess needed services, create work orders, assign technician. Upon Completion: Review PM checklist / work orders for completeness and accuracy, scan to asset # folder.
    • Maintain the Fleet Management database: Perform setup, data maintenance, data entry, data analysis and reporting to ensure compliance to DOT and company requirements.
    • Maintain accurate recordkeeping and reporting: Shop key metrics including vehicle metrics (weight, mileage, etc.), as well as fuel level info. to management and fuel supplier.
    • Provide administrative assistance to the Fleet Manager: Payroll system maintenance, training on software systems, communications to dispatchers, overweight/oversize permits.
    • Be an effective team member: Always wear PPE and work safely, be an example of good behavior. Follow all work processes and policies. Work cooperatively with co-workers. Manage working hours, days and shift schedules, based on schedule needs.
    • Other duties as assigned.
    Requirements:

    Minimum Requirements:

    • High School Diploma / GED
    • 2 years' experience in a planning and scheduling vehicle repair / service environment
    • Skilled in Microsoft Office products (Word, Excel and Smartsheet primarily)
    • Ability to learn new software programs (knowledge of fleet management software is a plus)
    • Strong organization, project management and time management skills
    • Strong communication skills (communicate well at all levels) (Bilingual skills are a plus)
    • Actively participate in improvement efforts and contribute to the success of a team

    Note: This position has physical requirements:

    Employees must possess the ability to perform the essential job functions successfully and safely within the ADA, FMLA and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards. Employees must maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards. Employees are required to have close visual acuity to perform an activity such as: scheduling repairs, data analysis and reporting. Prolonged periods of sitting at a desk and working on a computer are an essential part of this position, and as such sedentary work, repetitive motions, and substantial movements of the wrists, hands, and/or fingers are required to perform the work

    Must be able to lift up to 15 pounds at a time.
