POSITION TITLE: ADMINISTRATIVE ASSISTANT – ATHLETIC DIRECTOR
Class III
REPORTS TO: ATHLETIC DIRECTOR
WORK YEAR: 12 MONTHS (July 1 to June
JOB SUMMARY/ACCOUNTABILITY: To perform full secretarial functions as assigned by the Athletic Director in a professional, confidential manner. To assist in maintaining an office that is responsive to the needs of students and the community. Must be able to maintain a cooperative, congenial and service-oriented atmosphere within an environment with frequent interruptions.
QUALIFICATIONS: High School diploma or GED; post-secondary training in approved accounting procedures OR prior experience; knowledge of and experience with computer applications; proven organizational skills; demonstrable communication skills.
PERFORMANCE RESPONSIBILITIES:
- Process all invoices and prepare check requests approved for payment by the Building Principal.
- Prepare and process for bank deposit all monies collected for student activities or athletic events. This includes making timely deposits, processing receipts and maintaining detailed records.
- Prepare and distribute all bulletins, notifications and facility usage on an on-going basis to assure a smooth functioning athletic department.

- Prepare and process all reports, directives, and communications dealing with the athletic program. This includes informational releases, award materials, participant lists, league communications, notification of cancellations and communication with coaches outside the educational system.
- Assist in maintaining a facility-building calendar, coordinating with the Secretary to Supervisor of Operations, for both inside and outside facility or rental requests.
- Assist in maintaining the high school's athletic website for up to date information and schedules.
- Schedule and confirm officials and game workers for all home contests.
- Send transportation request to Transportation Services prior to the start of each season.
- Assist athletic director in sending opponent contracts and confirming all contests.
- Prepare and process eligibility information for all sports participants.
- Maintain volunteer clearances.
- Maintain a calendar for reservations of the athletic vans for team and district use.
- Perform other related duties as assigned by the Athletic Director and the Principal.
The position holder must be able to report to work on a daily basis and perform the essential job functions with or without reasonable accommodations. It is the responsibility of the employee to inform the Director of Human Resources of any and all reasonable accommodations that will be required.
