    POSITION SUMMARY
    The Corporation's administrative compliance and fiscal oversight is at the direction of the Corporation Executive Director, CSUMB's Vice President of Administration, and Finance/Chief Financial Officer (VP/CFO). The Associate Executive Director (AED) has reporting responsibilities to the Corporation's Board of Directors and the Executive Director, which includes seeking guidance and strategic direction from CSUMB's Executive Director. The AED is a member of the Corporation's leadership team and is responsible for much of the day-to-day operations of revenue units, collaborating closely with the Controller and keeping the Executive Director informed and involved in key changes or initiatives.

    The AED oversees all of the corporation's support functions and operational contracts for the largest commercial activities; leads business development initiatives, formulates plans and helps identify and facilitate establishment of new businesses, and provides organizational leadership in support of and in the absence of the Executive Director. The AED will represent the Executive Director in meetings involving Corporation staff, the campus and community at-large; and will assist in supporting the operational needs of the Corporation as needed.

    The key areas include: Human Resources, Accounting, Governance/Compliance/Risk, KAZU, Pay It Forward (PIF), East Campus housing, Event and Contracted Services, as well as student housing, operational revenue and non-administrative cost units and major vendors (e.g. bookstore, dining, custodial, landscaping), and the Child Development Center.

    The AED will work with other corporation administrators in developing and implementing policies and strategies to develop and foster a customer service orientation, ensure continued financial strength and growth of the corporation, that support services and commercial operations are aligned and in sync as to priorities and methods; and that project needs are coordinated. The AED will work with university department heads, staff and administrators to provide business development support and expertise; build strong relationships with internal and external constituents; have a visible
    community and campus presence, developing relationships and providing a positive image of the corporation and the campus.

    The AED will participate in and lead meetings involving corporation staff, vendor partners, campus, community, CSU and governmental officials and groups; lead projects and ensure execution of initiatives; and will assist in supporting the operational needs of the corporation as needed. The AED is also responsible for providing broad-based organizational support of corporation goals and initiatives and for coordination and execution of the corporation Strategic Plan.

    The Associate Executive Director is responsible for fostering an environment of collaboration and for building strong relationships with internal and external constituents and colleagues.
    Examples of Duties

    ESSENTIAL DUTIES AND RESPONSIBILITIES include. but are not limited to. the following:
    Leadership:
    • Supports the Executive Director in the general management of Corporation programs as they relate to the overall goals of the Corporation and the mission of the University
    • Facilitate meetings, conduct performance evaluations, establish goals, and monitor day-to-day operations.
    • Directly supervises: Administrative Assistant, Director of Human Resources, Controller, Director of Student Housing, Compliance and Risk Manager, KAZU General Manager, Director of Contracted Services and Events
    • Carries out supervisory responsibilities in accordance with Corporation's policies and applicable laws and regulations
    • Develops and implements effective performance and department goals and objectives, provides performance evaluations, and implements appropriate counseling
    • Acts as a resource and provides consultation and support to Corporation senior management team for areas of expertise
    • Assists department heads in ensuring the smooth and efficient operation of the Corporation's functions.
    • Serve on auxiliary and CSUMB committees, boards and task forces, as well as CSU and professional organization committees and other groups, including the Auxiliary Organizations Association.
    Policy and Proposal Oversight:
    • Formulates proposals to the Executive Director and Board of Directors involving broad and often complex areas of policy and management action. Implement or monitor such proposals when adopted. Sets the board agendas.
    • Provides general administrative and financial guidance with regard to real estate transactions, commercial enterprise activities, and supports new businesses, programs or activities requiring the support of the Corporation
    • Integrates, coordinates and collaborates with university departments when proposing and planning business activities.
    • On an assigned basis, assists key University staff with policy, programs, projects or matters involving the Corporation.
    • Conducts special studies, investigations, and prepares administrative reports as assigned; assists in the implementation of new policies, programs, and procedures; cooperates with agencies, groups, and individuals in the coordination of Corporation operations; studies proposed legislation/regulations, advising the Executive Director on impact; and confers with staff and managers in regard to the need for legislation/regulations, advising and consulting on such needs with Executive Director.
    Contract and Risk Administration:
    • Provides oversight of event services, contract administration and facility management of all non-housing facilities, working in close coordination with the Director of Events, Facility Operations and Contracted Services.
    • Responsible for the overall risk management administration of the University Corporations assets and activities.
    • Assists in the development of policy relating to fiscal, contract and risk management activities.
    • Responsible for the implementation and maintenance of risk mitigation and management efforts.
    Student, faculty and staff housing:
    • Oversees the facility operations and fiscal administration of student housing. Maintains relationship with Student Affairs to ensure contracted services are coordinated and accomplished.
    • Oversees the operations and fiscal administration of student, faculty and staff housing. Administers the contract for East Campus property management and works with the appropriate University personnel (Residential Life and Facilities Services and Operations) for Main Campus housing operations.
    Business Management and Development:
    • Both independently, and in support of, the Executive Director, assists with monitoring progress, and implementation of necessary action steps, toward successfully achieving Corporation's goals and objectives through organization, coordination, and project management systems.
    • Responsible for budget development and implementation for Child Development Center, Student Housing, Faculty-Staff housing, Salinas City Center, North Salinas, Dining, and various university support functions, and works closely with the CFO to finalize budgets.
    • Develop and implement financial and operational analysis, trend analysis and reports for assessment of various Corporation operations.
    • Assumes a lead role for Corporation business development activities and program expansions; represents the Corporation on behalf of the Executive Director on and off-campus.
    • As assigned, leads the assessment of certain business development projects and products according to university and Corporation goals, including new businesses and process improvements.
    • Manages aspects of strategic transactions, including: preliminary analysis and evaluation, communicating results and recommendations to the Executive Director; working with executive leadership to gain initial acceptance/support among key Corporation decision makers and university stakeholders; leading the diligence effort; works with key financial managers in the development of financial/valuation analysis; deal negotiation; and oversees the implementation of transactions when approved.
    • Establishes return on investment measures and goals for assigned business development projects based on revenue potential, public relations consideration, and an assessment of content value. Works with the Controller in order to utilize appropriate finance staff resources, as needed.
    • Works with university administration on joint venture projects.
    • Evaluates, negotiates and closes investment and real estate transactions with Executive Director and Board approval.
    OTHER FUNCTIONS
    1. Performs other duties as assigned.
    2. Provides staff support and counsel to Board officers and members on an assigned basis.
    3. Promotes and maintains an atmosphere of excellent internal and external customer service and positivity within the accounting department and the campus community.
    4. Serves as the administrator in charge in the absence of the Executive Director.
    5. Takes on special projects and performs other duties as assigned.

    SPECIALIZED SKILLS REQUIRED:
    This position requires a significant emphasis on customer service, financial monitoring, forecasting, understanding, interpretation of complex federal regulations, and internal policies and procedures. Experience with personal computers including word-processing, spreadsheet, databases, querying software, and email applications. Demonstrated experience that clearly provides evidence of the knowledge and skills required to perform each essential duty satisfactorily.     Qualifications

    MINIMUM QUALIFICATIONS
    Education and Experience:
    • Graduation from an accredited four-year university in public, personnel, business administration, or related field.
    • Minimum ten years of progressive, responsible, professional and supervisory work experience including seven years in a senior-level management position performing similar duties which involve supervision and evaluation of department managers or supervisors in the areas of operations, grants, commercial, contracts, and management in broad based higher education management
    DESIRABLE QUALIFICATIONS
    • Master's degree in higher education, business or any of the disciplines related to program and service offerings of the University Corporation.
    • Ten or more years of progressively responsible leadership experience in a higher education or not-for-profit environment.
    • Demonstrated understanding of and commitment to the CSUMB Vision Statement and the core values of mutual respect, collaboration and service orientation, multiculturalism and diversity, community service and institutional excellence.
    • Experience working with a diverse and multicultural population and performing community services.

    The annual salary range for this position is $185,000 - $200,000. Classification: Grade 12, Management. This is an exempt position and as such is not eligible for the overtime provisions of the Fair Labor Standards Act.
