Job Summary
The Administrative Services Coordinator is a key point of contact for important clinic operations. Duties include coordinating patient related activity, triaging telephone calls, taking messages and providing information to internal and external customers. The role also involves managing routine office administrative functions.Responsibilities
- Oversight and Lead Responsibilities: Independently owns prioritizes and initiates implementation of assigned work functions Serves as point of escalation for Admin Services team Participates in supports select projects to be determined by leadership Evaluates manages workload distribution of the Admin Services staff May assist with recruitment onboarding performance evaluations performance management of Admin Services staff per practice needs
- Clinical Duties: Greets screens schedules directs patients in prompt positive pleasant helpful manner at all times even in most adverse circumstances Retrieves processes incoming medical records/images ensures scanning physician review is completed Ensures diagnostic testing other evaluations are completed before visit if applicable Assists attending physician with outpatient office hours including maintaining clinical schedule closing necessary dates moving patients if rescheduling is necessary Traveling to clinic location if applicable Schedules required procedures OR/Lab for patients at provider direction Coordinates all procedures that need occur prior to scheduling surgery including but not limited to scheduling ancillary tests pre-operative testing x-rays scans MRIs labs EKGs as necessary for completion of pre-operative packages Responsible for timely submission pre-op cases ensures accuracy information correct forms completed signed advance procedure Processes medication refill requests triaging appropriate clinical staff Coordinates schedules cases medical equipment representatives required Completes medication authorizations obtains prior authorizations procedures Obtains medication pricing coverage information patients Initiates Tier prescription exemptions needed Schedules tests procedures clinical follow-up services requested providers Completes medical records requests Handles patient correspondence myPennMedicine messages
