- Manage the Donor Snap program database; providing weekly and monthly reports as requested.
- Enter and process monetary donations accurately, as received, and manage inventory of material donations.
- Manage Community Events calendar.
- Process mail correspondence, including sending "Thank You" letters to donors in a timely manner.
- Build and maintain positive relationships with all current and potential donors.
- Field telephone calls and questions from current and potential donors and volunteers.
- Maintain the agency's "wish list" for donations and advertise, as needed.
- Provide on-site support with all development events.
- Represent Safe Berks in the community at various events throughout the year.
- Assist with reviewing volunteer applications.
- Maintain volunteer files as per funders' standards and record all volunteer hours.
- Serve as liaison to the Board of Directors and maintain board files, board roster, board member training records, and background check clearances.
- Maintain board SharePoint with current meeting minutes, agendas, event notices, training opportunities, and other information provided by the CEO and Board President.
- Record detailed meeting minutes at all Board Committee Meetings and email to Committee members.
- Assist the CEO with new board member orientation and other projects as assigned.
- Prepare Conference room and SharePoint folder for each Board of Directors meeting.
- Assist with consistent social media messaging and monitoring comments.
- Responsible for depositing monetary donations at the organization's financial institution, as directed by Chief Financial Officer.
- Serve as a back-up to the Office Administrator position during absences, position vacancies, or as needed.
- Must be detailed oriented and organized, must be able to multitask.
- All other duties as determined by department supervisor.
- 3 - 5 years' administrative experience to include providing customer service
- Fundraising or development experience preferred
- Bachelor's degree preferred; relevant experience can be substituted in lieu of degree
- High school diploma required
- Completion of a background check request; FBI, State Police, and Child Abuse Clearances obtained within required timeframe under Act 153 through agency vendor
- Successful completion of required Advocate Training provided by agency
- Valid driver's license, current vehicle registration, acceptable driving record, and PA Minimum Liability insurance coverage of $15,000 Bodily Injury per person / $30,000 Bodily Injury per accident and $5,000 Property Damage, or $35,000 Combined Single Limit, if your position requires operating a personal or organization owned vehicle.
