    ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

    The overall duties of this position are to support and work in conjunction with the property manager(s) in the daily operations of their portfolio or properties. Other duties may include any other duty/task that may be assigned by the Manager of Administrative Services.


    • Handle general calls regarding rules and regulations of the community.


    • Update/maintain current Resale documents including questionnaires and all accompanying information.


    • Correspondence with relation to violations, architectural applications, etc.


    • Prepare/maintain tracking log(s) if applicable


    • Process parking passes/decals


    • Process pool passes


    • Process clubhouse rentals


    • Proofread documents for the Association such as mailers, newsletters, and other documents as requested.


    • Management reports including proofreading and producing a final product to distribute to the Board of Directors through email


    • Mail letters for ARC inspections, HVAC inspections, etc.


    • Annual Meeting preparation


    • Database (Jenark) updates


    • Land records research


    • Returned mail research


    • Set up manager files (electronically scan where applicable) and unit files


    • Unit filing


    • Assist with manager filing


    • Maintain electronic files regarding community information


    • Reserve meeting locations for Board and Annual Meetings

    Requirements:
    • High School Diploma or GED
    • 2-5 years of administrative experience
    • Strong verbal and written communication skills
    • Knowledge of Property Management Industry and systems preferred
    • Preferred second language, Spanish, a plus
