    Position Summary

    Is this position exempt from overtime pay?

    No

    Performs a wide variety of detailed clerical tasks related to processing employee payroll. Maintains communications with timekeepers at assigned locations to ensure consistent processing of all aspects of payroll and leave processing. Answers employee questions and/or correspondence concerning payroll and deductions. Assignments require rapid and accurate computations of payroll and deduction transactions and adhering to set deadlines. Defined tasks may be distributed among several Payroll department employees.

    • Follows all guidelines and procedures established by the Payroll Manager and Assistant Payroll Manager.
    • Receives and checks each time sheet for accuracy, days/hours worked, leave availability, leave transmittals with doctor's certificate when required, and reconciles remote site entry and automated leave system entry to employee's records. Adjusts leave for part time employees according to FTE.
    • Calculates and processes pay and leave adjustments for employees using the appropriate salary/hourly rate when retroactive adjustments or other pay adjustments are required.
    • Issues stop payments and reissues supplemental check or online check as necessary.
    • Follows up with various banking institutions regarding returns on an employee's direct deposit election.
    • Identifies, researches and documents instances of employee overpayment or underpayment. Prepares necessary documentation to support appropriate action. Employs Overpayment / Underpayment form and designated spreadsheet, and repayment agreement as necessary.
    • Works directly with the office of Integrated Leave Management, monitoring excessive leave, lost time and FMLA utilization and communicating findings to ILM.
    • Conducts termination leave reconciliation and status change leave conversion.
    • Maintains binder for FMLA, sick bank and worker's compensation utilization, updating as appropriate for each pay period in accordance with standards established by the Payroll Manager.
    • Sorts and distributes payroll vouchers and timesheets for delivery to school and satellite locations.
    • Provides strong customer service for all customers, in both oral and written communications.
    • Responds to a high volume of inquiries regarding pay and leave issues.
    • Reproduces and disseminates paperwork supporting documentation to office of Integrated Leave Management - notifying them of Injury on the Job and extended sick leave usage.
    • Calculates allowable earnings for employees on Worker's Compensation and Sick Bank, including adjustments for leave.
    • Answers telephone inquiries and provides information to employees, supervisors, timekeepers or other authorized parties relative to payroll records, transactions, policies and procedures.
    • Tracks leave usage for employees on FMLA. Takes appropriate action when FMLA leave is depleted including placing employee on leave of absence and notifying Benefits office for healthcare deduction purposes.
    • Processes and enters Overtime and Additional Compensation Reports, determining appropriate overtime or additional compensation codes and rate of pay. Ensures correct budget codes are applied. Ensures overtime/comp time is applied according to FLSA and negotiated agreements.
    • Works with budget office to ensure budget accounts are established, as necessary.
    • Enters changes to employee direct deposit or tax information.
    • Works closely with Benefits to ensure all deductions, including retirement, are accurate.
    • Processes and enters additional compensation for coaching, club sponsor allowances, Lead Teachers, Department Chair, Interdisciplinary Team Leader, Home-Hospital and etc. according to established guidelines.
    • Completes employment verifications in a timely manner.
    • Prepares disbursement authorizations and wire transmittals as required.
    • Assists in preparing various reports, correspondence, and/or special assignments and projects as directed.
    • Opens, stamps, and processes mail, correspondence, and billings.
    • Provides payroll support to timekeepers at schools and satellite offices, providing training as necessary.
    • Provides support to the Payroll Manager and the Assistant Payroll Manager for dissemination of communication materials related to payroll information.
    • Ensures all data entry is accurate; Audits all payroll input for accuracy following each cut-off and prior to payday.
    • Provides back-up to HR receptionist as needed.
    • Performs other related duties.

    Education


    • High School Diploma or Equivalency Certificate.
    Experience


    • Three (3) years recent clerical/administrative office experience, two (2) years of which were working in payroll, Human Resources, Accounting or related field, or an equivalent combination of education and experience deemed sufficient to prepare the applicant to successfully perform the duties of the position.
    Knowledge, Skills, and Abilities


    • Ability to apply a detailed understanding of AACPS policies, regulations and procedures as they related to payroll.
    • Understanding of negotiated contracts and the different transactions that affect employee pay.
    • Knowledge of Fair Labor Standards Act (FLSA) and overtime guidelines.
    • Demonstrated ability to provide excellent customer service.
    • Demonstrated ability to perform accurate data entry.
    • Demonstrated ability to perform calculations for reconciliations etc.
    • Demonstrated ability to perform a wide range of standard office clerical tasks quickly, accurately and efficiently.
    • Ability to meet and adhere to set deadlines.
    • Sensitivity to private and confidential employee information and an understanding of responsibility to ensure confidentiality and security of confidential information.
    • Experience with computerized payroll processing system.
    • Demonstrated proficiency with business technology applications (e.g. Microsoft Office Suite -Word, Excel, Outlook, and/or Power Point preferred).
    • Demonstrated ability to type forty (40) words per minute.
    • Demonstrated ability to effectively work and communicate with diverse populations.
    • Satisfactory score on any test required.
