    Job Title: Inventory Planner/Buyer

    Reports To: Director, Manufacturing Operations

    FLSA Status: Exempt

    Department: Materials Management

    Location: Vista, CA

    Summary: The Planner/Buyer is responsible for planning inventory and ensuring proper materials and supply levels to meet production and customer demands. This Planner is expected to be an expert in the setup and operation of Microsoft Business Central. As demands dictate, this individual is also expected to directly support and backup when needed the purchasing function. Work is subject to periodic review upon completion and is typically performed under general direction.

    Essential Duties and Responsibilities:

    Forward-planning of manufacturing components based on sales, production forecasts and current inventory levels. This includes interpreting constant changes in all these areas for adjustment of current and new orders.

    • Proficient use of Business Central's MRP functions and other tools to avoid stock-out situations and to maintain inventory levels at appropriate minimums.
    • Interaction with the Director of Manufacturing Operations and Senior Buyer regarding new products, changes to current products or substantial changes in production schedule/forecast that might impact inventory.
    • Support the purchasing function with follow-up as needed with suppliers and off-site personnel to confirm, clarify and coordinate all orders for accuracy and timely delivery.
    • Support the purchasing function as needed to work with suppliers, receiving and accounting groups in a timely manner to resolve any delivery issue or invoicing discrepancy.
    • Support the purchasing function as needed to educate employees on purchasing procedures, forms and processes and:
    • Interact with employees to assist them in properly obtaining needed supplies and materials.
    • Interact with management to obtain proper authorization on purchase requests
    • Maintain accurate parts information in the ERP (BC) and Medical Billing (TIMS) systems:
    • Entry of new parts.
    • Maintenance of existing parts to include all order planning information.

    Work with the purchasing function to optimize cost savings and cost reduction plans.

    • Work with QA regarding quality issues and coordinate NCR generated returns along with entry of return order in ERP system.
    • Reconcile inventory discrepancies and adjust order plan accordingly.
    • Understand process and procedures and provide backup on processing purchase orders.
    • Solve problems with inventory and non-inventory orders and involve all stakeholders in resolution.
    • Assist with development of proactive problem-solving methods as they relate to materials management and company processes.
    • Make routine decisions requiring moderate use of independent judgment.
    • Assist in troubleshooting and resolving problems in other departmental processes that directly impact inventory planning and purchasing.
    • Identify concerns and make recommendations for materials management process improvement.
    • Maintain familiarity with relevant company policies and procedures.
    • Maintain advanced knowledge of materials management department policies, practices and procedures.
    • Maintain awareness of, and comply with the Materials Management department's performance standards.
    • Maintain advanced knowledge in paper and computer systems as they relate to departmental procedures and software utilization.
    • Quickly and accurately navigate through database software for the purpose of problem solving and all other job functions.
    • Work with the Senior Buyer to build detailed knowledge on manufactured items and distributed items for optimal job efficiency.

    Work with the purchasing function to maintain an organized filing system for all relevant materials.

    • Organize and prioritize tasks as needed to perform job within pre-established time management standards.
    • Plan and organize time to support the staffing needs of the department, company policy and state and federal labor requirements.
    • Align work with performance goals.
    • Accurately perform keyboard functions at a minimum of 30 wpm.
    • Edit work for accuracy, spelling, grammar and present numerical data effectively.
    • Follow company policies and procedures and support the goals and objectives of the company.
    • Maintain ethical behavior in the workplace according to company policies and procedures as defined in the employee handbook.
    • Interpret and accept instruction, direction and coaching from direct supervisor.
    • Handle internal and external communications with tact, diplomacy, and discretion.
    • Interact effectively, appropriately and professionally with co-workers, supervisors, upper management, customers, suppliers and visitors.
    • Communicate regularly with all departments and suppliers to follow up on purchase requests, purchase orders, documentation, pricing, delivery status, etc.
    • Effectively present information and respond to questions from external customers and internal customers.
    • Communicate clearly in person and via email or telephone.
    • Handle moderate to high stress in a professional manner.

    Competency:

    • Job Specific Duties: To perform as the expert in the operation of Business Central functions relating to planning and order management and appropriately and effectively support the function and activities of the Materials Management Department.
    • Operations, Quality & Performance Improvement: To effectively administer projects, customary assignments and activities of the Material Management department through individual contribution, appropriate delegation and routine follow-up with appropriate personnel to achieve the unit's goals.
    • Job Knowledge & Business Acumen: To maintain broad familiarity of internal and industry practices and policies.
    • Communication & Ethics: To appropriately and ethically represent the company and initiate actions and/or communications which will best serve the interests of VQ OrthoCare.

    Qualifications:

    Education/Experience:

    • High School Diploma/GED Required
    • Associate's Degree preferred.
    • Additional 4 + years related experience.
    • Expert level knowledge and experience in the operation of Business Central inventory planning, order processing and supply-chain management.
    • Purchasing experience in a medical manufacturing or distribution environment is preferred.
    • Additional related education or certification preferred.

    Physical and Mental Demands:

    • Typically interacts with staff, peers, senior management and external customers
    • Ability to handle moderate to high stress.
    • Regularly required to sit, stand, move about, stoop, bend, reach, finger and grasp and to move and/or lift up to 50 pounds.Routine review of reports on computer displays, PDA displays and cell phone displays.
    • Must regularly type and or enter data using computer keyboards.

    Certificates and Licenses:

    No special certificates, licenses or registrations are required although job related certifications would be preferred.

    Supervisory Responsibilities:

    The Planner / Buyer may coordinate and/or assist with training & guiding of other staff, as needed, but will not have any direct reports.
