    About the Role

    Litigation Assistant required for National firms Fort Lauderdale, FL office.

    As a Litigation Legal Secretary, you will provide administrative support to assigned attorneys, interacting with colleagues in a team setting and upholding the firm's image by maintaining positive relationships with clients, attorneys, and staff, while observing confidentiality of client matters.

    Day-to-Day Responsibilities

    1. Input, revise, and finalize correspondence, memoranda, and other legal documents. Draft routine correspondence, memoranda, and other documents.
    2. File legal documents in federal and state courts, including e-filing, and prepare documents for service of process.
    3. Verify all attachments, exhibits, and enclosures are included with transmittal letters/memos.
    4. Proofread documents and check for appropriate formatting, spelling, and grammar.
    5. Maintain good public relations with clients.
    6. Review incoming mail, distribute as needed, and upload to the Document Management System.
    7. Prepare documents and packages for mail, messenger, and overnight delivery.
    8. Prepare expense reports, manage vendor invoices, mailings, and request checks as needed.
    9. Enter attorney time and send time entry reminders.
    10. Process client billing and assist with review and edit of bills.
    11. Schedule appointments and make arrangements for meetings, conferences, and travel.
    12. Complete client/matter intake forms and request conflicts of interest checks.
    13. Coordinate and follow through on requests and projects with other support departments.
    14. Provide overflow and absence coverage assistance and secretarial support for Secretarial Team Members' attorneys.
    15. Other duties and projects as assigned.

    Requirements

    1. A minimum of 5 years of litigation secretarial experience (Insurance Defense experience is a plus).
    2. Strong proofreading skills, attention to detail, and solid grammar/spelling skills.
    3. High degree of proficiency with Microsoft programs (Word, Outlook, Excel).
    4. Legal citation and legal terminology expertise.
    5. Familiarity with iManage, Compulaw, or similar technology.
    6. The ability to organize, prioritize, and meet demands from multiple attorney assignments.
    7. Flexibility to work overtime occasionally.
    8. Good attendance and punctuality.
