Job summary
This position provides administrative support enabling the Young Life field ministry area office to function an organized and efficient manner.Written and Verbal Communication Answer correspondence do filing prepare mailings. Answer phones Respond to voicemail e-mail and phone calls in a timely professional manner Gather articles pictures layout production mail etc for newsletter from area staff Create club/event postcards flyers maps Send prayer e-mails monthly updates Send personal support mailings Create maintain area M-Site Send thank-you letters to donors Interact with area office assistant area directors area committee volunteer team leaders leaders with area Administration Process track donations Maintain donor leader databases ensuring that leader forms driver questionnaires criminal background checks are up-to-date Manage monthly expenses budgets including area bank account records FDT staff expense reports Account pay bills submit bank account records/purchase card expenses donations make copies evaluate financial monthly status update FDT each month Maintain contact databases including the following Update area donor database regular basis Enter club card data kid database Update parent database Maintain newsletter recipient list Create maintain banquet invitation list Update contact Palm/Outlook Update email distribution lists kids campaigners committee leaders prayer partners Track report vacation sick personal days eligible staff Submit timesheets hourly staff Complete Personnel Action Requests required documents hire terminate staff forward region approval C Event Administration Coordinate meetings Area Staff Meetings Area leadership meetings Committee meetings Camp Track participation payments health forms earned fundraisers Send letters parents camp sign-ups itineraries health forms Responsible fundraiser marketing Construct distribute camp brochures Communicate regarding contracts R2 deposits A-forms housing request forms 10-call-ins Banquet/Golf Marathon/Auction Create invitations banquet sponsor packet table host packet banquet program donor cards Track guest list table sponsors RSVP list donations received banquet Coordinate hosts invitation lists Mail invitations Send thank you notes donors Table sponsors D Training Provide training various items processes applications related field administration Working Conditions Office Environment Education High school education equivalent Associates degree preferred Ongoing education encouraged Experience Required For Job Previous administrative assistant experience preferred Ability type words minute few errors Proficiency Microsoft Office Suite includes Word Excel Outlook PowerPoint Strong organizational skills attention detail processes capability handling concurrent tasks interruptions Good grammar skills strong written verbal communication skills Ability maintain confidentiality Basic accounting skills Detail oriented multi-tasking ability Proven relational skills kids adults Initiative developing process/systems events data organization maintenance Great customer service skills
