    POSITION SUMMARY

    Under the general direction of the Associate Director for Operations and Outreach (ADOO) of Student Housing & Residential Life (SHRL), the Coordinator of Occupancy Management is responsible for the ongoing management of the department's occupancy functions, including but not limited to room assignments and associated room selection/transfer process and reporting. The position supervises the full-time assignments staff. Works collaboratively with other department staff to ensure processes and outcomes are aligned to support a positive student experience, customer service, and high occupancy.

    Examples of Duties

    ESSENTIAL DUTIES AND RESPONSIBILITIES include. but are not limited to. the following:

    Leadership & Supervision: Directly supervise a team of Assignments and Customer Service Specialists. Promote a positive work environment grounded on student success, customer service, and efficient operations, and servant leadership.

    Provide quality and consistent management of personnel to support their successful performance of assigned tasks and development as professionals.

    Develop and implement a strategic approach for onboarding new personnel into occupancy management functions.

    Train assignments personnel on occupancy and customer service-related matters including training on SHRL philosophy, assignments processes, and StarRez implementation.

    Promote and maintain a high level of customer service and friendly, responsive customer interactions with department stakeholders, including but not limited to students and supporters.

    Coordinate and lead occupancy team meetings.

    Serve on the Operations unit leadership team.

    Attend and actively participate in Operations team meetings, with particular attention to representing occupancy management functions.

    Perform assignments staff functions as necessary to support occupancy functions during staff absences.

    Occupancy Management: Oversee occupancy management functions for SHRL department.

    Design, build, and implement a building usage process that incorporates feedback from campus stakeholders and maximizes occupancy for California State University, Monterey Bay.

    Ensure timely processing of East Campus occupancy changes in Frederick Park housing.

    Oversee design and implementation of annual room transfer and housing selection ("Reservation Days") processes.

    Create and maintain regular leasing and occupancy reports to be shared with campus leadership.

    Manage housing eligibility, assignment, and billing considerations such as waivers, accommodations unrelated to disabilities or special needs, rent payment extensions/deferment approvals in consultation with the ADOO and other personnel as appropriate.

    In coordination with the ADOO, manage Rate Lock program, including eligibility, auditing, and associated communication.

    Work collaboratively with the Assistant Director of Residential Life for Care and Community Standards on housing needs for students facing housing insecurity.

    Promote efficient and service-oriented entry for new residential students.

    Support the contractual relationship between SHRL, campus departments, external customers related to use of student housing inventory, including, but not limited to Living-Learning Programs, theme housing, short-term stays, and intern housing.

    Develop policies and procedures associated with the effective occupancy management in alignment with the department's goals and the student experience. These policies and procedures should mitigate risk, define responsibilities, and enhance the residential experience.

    Serve as the SHRL representative when communicating with campus partners on matters pertaining to room change requests, including but not limited to Student Disability and Accessibility Center (SDAC) and International Programs (IP).

    Respond to partner communications as needed.

    Help ensure that internal and external data requests are processed in accordance with policy.

    Administration: Perform a variety of administrative duties that support the Operations unit and SHRL department.

    Assist the ADOO with the development of the unit's annual budget including anticipated expenditures, modifications, and other measures to ensure that unit goals are financially achieved.

    Develop and track process for first- and second-year live-on housing requirements. Assist ADOO with review of live-on requirement exemption requests.

    Collaborate with SHRL senior leadership on establishing rental rate proposals for the next year; reporting to Student Affairs & Enrollment Services and University Corporation on student housing rates; and publishing approved rates.

    Assist with review of annual housing licenses.

    Collaborate on committees which maximize the University's incoming class in alignment with housing occupancy and University strategic enrollment goals.

    Build and strengthen relationships that share the SHRL mission and/or advance organizational goals.

    In conjunction with Business and Finance staff, ensure timely processing of housing and meal plan billing.

    In conjunction with communications and housing services staff, promote seamless communication within the Operations unit and across SHRL department.

    Assist communication staff as needed with communication-related to room assignments and associated processes (housing selection, room transfer, etc.).

    KNOWLEDGE, SKILLS, AND ABILITIES

    Advanced fluency in using various standard office software packages such as Microsoft Word, Excel, and PowerPoint. Demonstrated technical literacy with electronic mail, mail merges, data entry, electronic scheduling, and internet communication software. Ability to work in an occasional high-pressured environment. Ability to operate a wide variety of office equipment and independently troubleshoot problems. Demonstrated ability to address the essential functions associated with this position including the knowledge and abilities identified above. Ability to complete and pass training in Defensive Driving. Must continue to meet the established driving standards as a condition of employment.

    Qualifications

    MINIMUM QUALIFICATIONS

    Education and Experience:

    Equivalent to a Bachelor's degree from an accredited college/university in a job-related field AND two years experience in planning, coordinating, or directing college-level activities for student services programs or in a related field. A bachelor's degree in a related field may be substituted for up to one year of the required experience.

    DESIRABLE QUALIFICATIONS

    Additional experience managing leasing or occupancy functions in a student housing setting and/or StarRez housing management software highly desirable; demonstrated supervisory and leadership experience; experience working with student; demonstrated understanding of and commitment to the CSUMB Vision Statement and the core values of mutual respect, collaboration and service orientation, multiculturalism and diversity, community service and institutional excellence; experience working with a multicultural population; familiarity performing community service learning; and demonstrated technical literacy.

    SPECIAL CONDITIONS OF EMPLOYMENT

    The hourly hiring range for this position is $ $32.00. Classification: Grade 5, Staff. This is a non-exempt position and as such is eligible for the overtime provisions of the Fair Labor Standards Act.
