Job Description:
The Data Entry Specialist is responsible for accurate and timely accounting data entry in accounting software, while also providing limited human resources and administrative support. This role plays a key part in maintaining organized financial and employee records and supporting daily operations in a nonprofit environment. The position requires strong attention to detail, discretion, and the ability to manage multiple priorities while following established procedures and internal controls.
Duties/Responsibilities:
· Accurately enter and maintain financial transactions in QuickBooks Online, including invoices, bills, payments, deposits, journal entries, and expenses.
· Perform accounts payable and accounts receivable data entry, including vendor bills, customer invoices, and payment applications.
· Review and verify source documents for accuracy, completeness, and proper approval prior to entry.
· Maintain organized and accurate electronic financial records in accordance with internal controls and nonprofit accounting standards.
· Identify data discrepancies or errors and report issues to accounting leadership for resolution.
· Assist with month-end close activities, reconciliations, and audit preparation as assigned.
· Provide data entry and administrative support for human resources, including maintaining employee records, preparing onboarding and offboarding documentation, and tracking HR-related information.
· Maintain confidentiality of financial, payroll, and employee information in accordance with organizational policy and applicable laws.
· Provide general administrative support, including document preparation, filing, data tracking, and coordination of assigned projects.
· Assist with special projects and other duties as assigned to support organizational operations.
Qualifications:
· Associate degree or above
· Minimum of 1 year of experience in accounting data entry, bookkeeping, administrative support, or a related role.
· Strong time management and organizational skills
· Proficiency in Microsoft Excel and general office software.
· Ability to handle confidential financial and employee information with discretion.
· Basic understanding of accounting principles
· Working knowledge of QuickBooks Online (preferred).
· Ability to work well in a team environment
· Ability to prioritize tasks and meet deadlines
· Cleared background check.
Reports to: Reports directly to the E2E Director of Operations
Compensation: $30,000 - $35,000 annually. This position is full-time. Benefits include paid holidays, personal leave, and sick leave. Medical, dental, and vision benefit options are available to all employees.
Location: Primary office space is at the E2E Main Offices in Corpus Christi, but may at times require remote working if necessary.
