    Summary: The Accounts Payable (AP) Manager is responsible for coordinating and supervising the daily Accounts Payable activities for the College. In this role, the Manager must ensure the timely and accurate processing of all vendor invoices and travel reimbursements. The position must supervise the AP Accounting Associates and review their transactions, provide training, prepare monthly journal entry accruals for expenses based on timing of payments, and perform annual performance reviews of AP Associates. Additional responsibilities of the AP Manager include cash disbursement analysis, monthly analysis and reconciliations for accrued expense accounts, and annual processing of 1099s. The AP Manager will also perform financial analysis and assist the Controller and Assistant Controller with special projects as required.

    This exempt position will report to the Assistant Controller in the Division of Finance and Facilities. It is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote.

    Responsibilities:

    • Supervise the daily processing and payment of vendor invoices and expense reimbursements. Review data entry of AP staff, post transactions, process check and ACH payments. Review establishment of new vendors with proper documentation.

    • Foster timely, effective and efficient processes and provide suggestions for improvements. Ensure functions in AP are properly documented. Develop and implement cross-training program. Enforce compliance with applicable policies.

    • Analysis and reconciliation of Accounts Payable and accrual balance sheet accounts, and any other accounts that may be assigned.

    • Annual preparation of 1099s and other federal reporting forms.

    • Monthly journal entries primarily related to expense accrual, and other entries as assigned. This could include reclassifications and expense reimbursement transactions. Participate in timely completion of monthly closes.

    Required Education and/or Experience:

    • Associates' degree or higher from an accredited college or university is preferred.

    • Accounts payable certifications are a plus.

    • A minimum of 4+ years of Accounts Payable experience with at least a year of supervisory experience is required.

    • Ability to complete and review reconciliations, journal entry preparation, and basic understanding of general accounting and the Matching Principle are required.

    • Must have strong communication skills, both written and verbal.

    • Strong working knowledge of Microsoft Office products and good aptitude with Excel.
