This position provides administrative support daily to the Property Management Department. The position
requires accounting skills, organization, and accuracy, attention to detail, relationship building skills, verbal &
written communication, judgment, and confidentiality. The main purpose of the Property Assistant position is to
support the Property Management Department, which ultimately helps the company fulfil its goals.
Duties and Responsibilities:
The Property Assistant is responsible for the timely execution of the following activities:
Review leases to answer tenant questions.
Review, research, and code invoices for payment according to operating budget; submit to manager for
approval in a timely manner.
Collect updated tenant information and certificates of insurance as necessary and distribute
appropriately.
Assist Property Manager as necessary with preparation of annual budget.
Assist Property Manager or Controller with tenant accounting issues.
Strong communication and customer service skills.
Work independently and within a team on special, nonrecurring, and ongoing projects.
Assist in all general administrative duties and other duties as required, including backup receptionist as
needed.
Assist with opening, closing, possession notices on ancillary contracts and vendor contracts.
Prepares vendor contracts, JSR's, pylon agreements and tenant bill backs.
Updates tenant and vendor contact sheets, utility spreadsheets and tenant opening schedule.
Maintain work order log for tenant maintenance requests.
Maintain tenant sales reports.
Position Requirements:
Administrative experience in a professional setting.
Experience using Yardi Voyager preferred
Strong customer service skills with the ability to handle requests in a courteous, professional, and timely
manner.
Ability to organize and manage multiple projects.
Strong attention to detail, time management skills and personal initiative are all required competencies.
Must be self-sufficient and able to operate independently.
The ability to analyze and understand utility bills.
Basic accounting skills, including debits, credits, account ledger, reconciliation and reclass.
Limited travel to managed properties.
Physically capable of undergoing property inspections (i.e., traverse uneven terrain, climb a ladder).
Yardi Accounting program knowledge a strong plus
