    Description

    The receptionist will assist in the management of the day-to-day operations of Pfeiffer Institute Marriage and Family Therapy (PIMFT).

    The daily duties and responsibilities are:
    • Recordkeeping of revenue generated by client therapy sessions.
    • Reconciliation of daily receipts and weekly bank deposits.
    • Daily, weekly, monthly, quarterly, and annual finance reporting.
    • Manage front desk (i.e., answer phones and take messages, greet clients).
    • Schedule intake appointments in therapists' calendars and manage clinic schedules.
    • Make copies of documents for Institute (i.e., case forms, information for community).
    • Assemble and organize the PIMFT Resource Binder.
    • Assist in opening and closing procedures.
    The weekly duties and responsibilities of the front desk staff:
    • Maintain PIMFT records of new incoming clients.
    • Maintain PIMFT records of total client sessions.
    • Monitor clinic supply needs and replenish materials.
    • Maintain copier status and office supplies.
    As needed:
    • Assist the clinic director in other administrative duties.
    • Create annual and mid-year reports of income, clients, and sessions.
    • Execute marketing strategies for the Institute (i.e., increase public awareness, contact community services in area, distribute Pfeiffer Institute marketing material).
    • Assist program director (i.e., copying, pulling paperwork together).
    The assistance of an receptionist is critical in the operations and management of Pfeiffer Institute, which serves as the primary clinical training facility for the master's level graduate students in the MFT graduate program. PIMFT provides direct services for individuals, couples, families or groups, and serves as a community resource for other agencies in the Charlotte area. Pfeiffer Institute operates much like any other mental health-related business. As a business, it is essential to have the assistance of a front desk staff to monitor and execute daily and weekly tasks as needed in the overall mission and vision of the Pfeiffer Institute.

    The receptionist must be able to perform all of the previously listed responsibilities with or without reasonable accommodation with little to no assistance from other employees or therapist interns. This position will be responsible for greeting clients and monitor individuals in the Pfeiffer Institute waiting room.

    The receptionist will spend the majority of time in Pfeiffer Institute, which is an office setting. The front desk staff is required to dress professionally and display mannerisms appropriate for a business and mental health profession. The incumbent will be assigned desk space and sitting in front of a computer for the majority of duties to be performed.

    Stressors may be experienced due to the mental health setting, such as dealing with difficult people. In addition, the job may vary from day-to-day due to working with diverse clientele. However, the structure of the working environment is flexible to enable staff and therapist interns to tolerate change.

    Assignments will be completed in a timely manner and deadlines will be discussed between staff members.

    Qualifications
    • Some college coursework is the minimum educational level necessary to perform the duties of the front desk staff. Preferable that applicant be familiar with the mental health discipline.
    • Knowledgeable and familiar with Microsoft Office (i.e., Word, Excel, PowerPoint, and Publisher), the internet and Microsoft Outlook calendar and email.
    • Familiar with or be willing to be trained in basic bookkeeping skills.
    • The front desk position requires frequent contact with a diverse group of people in the community and students. This position requires the front desk staff to have exceptional communication skills (i.e., verbal and written), customer service skills, and organizational skills. The position requires that the staff work in a team setting, multi-task and perform under stressful conditions (i.e., answering phones and greeting clients at the same time). The front desk staff must be self-motivated and have a positive attitude.
    Preferred qualities include:
    • At least two years of administrative and customer service experience; accounting experience is a plus.
    • Flexible schedule between 9:30 am to 9:00 pm, Monday-Thursday; 9:30 a.m. - 4:30 pm Friday and some Saturdays. Clinic needs vary per semester (will accommodate students enrolled in school).
    • Outgoing personality and sense of humor, with the spirit of working in a team environment is a requirement.
    • Ability to work with diverse populations and discretion and courtesy, while maintaining confidentiality in all matters.
