Job DescriptionThis position requires that you possess the following skills:
Quality Service and Strong Customer Service Skills
Clear Communication
Computer expertise in Microsoft Word, Excel, Outlook, and Publisher.
Initiative along with the ability to work independently
Organization and meticulous attention to detail to smoothly run the office
Continuous Learning
Three or more years of professional administrative support and/or customer service experience with experience as a Financial Advisor Assistant or Paraplanner a plus.
Client Service: Putting client needs first is deeply rooted in our culture and at the core of everything we do. In providing excellent client service you will:
Manage calendar and appointments
Prepare for appointments and meetings by preparing reports and forms as needed
Respond to client inquiries on administrative questions
Follow and track business activities
Office Administration: Assisting a Financial Advisor in managing the office to exceed expectations includes:
Effective communications with the Financial Advisor
Management of phone calls and walk-in clients
Assist with bookkeeping, order supplies and process expenses
Preparing correspondence. Drafting simple letters and memos.
Making copies and send and distribute faxes and mail
Account Processing: Ensuring client accounts are processed accurately and efficiently is crucial to satisfying clients. Activities include:
Opening, closing and transferring accounts
Confirming trade and other transactions
Establishing retirement, personal, estate and trust accounts
Following current compliance rules and regulations
Maintain client and branch files
Business Development: Support the Financial Advisor in developing the branch through:
Mailings for marketing
Email Blasts
Follow up with prospective clients and clients
Seminar Support: Coordinating seminars we host four times per year with established sponsors:
Manage brochure mailings
Order Workbooks
Handle all communications with sponsor
Schedule needed follow up appointments with prospective clients.
