    Operations Manger's Duties and responsibilities

    LOGISTICS:

    1. Manage warehousing to include costs, inventory, timelines, pickups/deliveries, project staging, shipments to and from.

    a. Offsite project 3rd party warehousing working with PM

    b. Office warehousing

    c. Offsite Inventory or Lef Over from project

    d. Partner mfg Prodigy WH material

    1. Assist team of backend pm and logistics with shipping issues and difficult ship situations.
    2. Plan and organize on site storage for turnkey projects (space for incoming, onsite containers, cct) will include coordinating with the PM or Backend PM where applicable.
    3. Lighting Material container shipments from overseas. Working with partner logistics, pricing, and lead times and broker/customs for entry and custom clearance.

    OFFICE MANAGEMENT:

    1. Administrative support
    2. Managing office schedule for in person meetings, deliveries etc.
    3. Record Keeping both digitally and hard copies
    4. Assist with incoming mail and deposits
    5. License renewals state, county
    6. Provides administrative support for Human Resources; prepares job descriptions; job postings and help wanted advertisements for vacant positions, maintains confidential files, processes new hire background checks, and processes new hire health insurance paperwork.
    7. Technology Mgmt. making sure all software subscriptions are maintained and renewals are handled
    8. Handle incoming general company calls, emails and direct accordingly.
    9. Oversees office supply purchasing and inventory, and scheduling office equipment maintenance
    10. On-boarding of new customers, product, and service vendors

    FINANCIAL MANAGEMENT:

    1. Deposits from mailed checks
    2. Office rent and other non-online payments
    3. Assist with processing and reconciling invoices and track expenditures.

    PRE-PROJECT MANAGEMENT/RGA/ORDER PROCESSING:

    1. Establish and attend project meetings and take notes/send reminders to support follow-up required and facilitate a project moving forward to closure.
    2. Front End Project Management:

    a. Contracting Documents both Customer and Subcontractor (coi, bonds, safety requirements, payment terms, invoicing requirements)

    b. Audit confirmation completed

    c. Final BOM and Labor Review and Finalization

    d. Initial Invoicing Mobilization and Set up Tracking Board

    e. Badging Requirements for Site

    f. Handle any pre-project submittals.

    g. Safety Form Requirements and Documentation

    h. Ship board and material lead times management

    i. Site Logistics Delivery and staging space (on site, container needed, material delivery handling)

    j. Recycling and Disposal

    k. M&V Requirements

    l. Onsite CM/PM Requirements

    m. Work together with Install Project Manager to create an install schedule.

    n. Netsuite quote to sales order (track all costs material, lifts, trash recycle)

    o. Throughout project work with Install project manager for CO, additional material needs

    1. Prepares quotes as needed for distribution customer accounts to include confirmed product margin, expected lead time, shipping costs, out of stocks and suggests alternatives that meets a customers stock and price requirements, as required and fill in for vacations.
    2. Assists with pricing SPL with preferred manufacturers.

    Job Type: Full-time

    Pay: $60, $70,000.00 per year
