    GENERAL SUMMARY/ OVERVIEW STATEMENT:


    Working in close collaboration with the Medical Director and Nurse Manager of the MGH Charlestown HealthCare Center and receiving general direction from the Executive Director of the Division of General Internal Medicine (DGIM), the Administrative Director is responsible for the effective management of the strategic planning, operations, community engagement, finances, quality, staff recruitment, retention and development, and the general administrative functions of the MGH Charlestown HealthCare Center, driving a range of initiatives to continually improve processes and performance.

    The Administrative Director also plays an important role ensuring close alignment and coordination between and across the MGH Charlestown HealthCare Center, the MGH Chelsea and Revere HealthCare Centers, the Division of General Internal Medicine, Department of Medicine, and Mass General Brigham.


    This position requires a demonstrated commitment to equity and community health and a high degree of initiative and excellent judgment, strong organizational and communication skills, the ability to prioritize and manage a wide range of responsibilities and the experience needed to make decisions quickly and independently and appropriately escalate challenges as they arise.


    PRINCIPAL DUTIES AND RESPONSIBILITIES:
    Working in close collaboration with the Medical Director, the Nurse Manager, and other members of the health center leadership team, the Administrative Director will:


    • Ensure health center priorities and plans are effectively aligned, communicated, and understood across departments.
    • Partner with stakeholders across the health center to accomplish key priorities.
    • Evaluate and analyze data related to clinical and operational performance, identifying trends and issues, and facilitate the development of timely action plans toward performance improvement.
    Clinical Operations, Community Health, Quality and Patient Safety and Staff Development


    • Ensure the efficient and effective clinical operations of the practices within the Charlestown HealthCare Center.
    • Lead health center efforts to address community health issues in line with the strategic goals set by the health center, Division of General Internal Medicine, and MGB Community Health and Equity / United Against Racism.
    • Serve as a liaison between the health center and community organizations.
    • Conceptualize, produce and continue to refine operational analyses and projections to inform proactive decision-making.
    • Coordinates with the MGH Planning Office and Buildings & Ground to manage the space and any necessary facility renovations;
    • Ensure health center operations comply with hospital policies, DPH and Joint Commission regulations and local and state building, fire and safety codes.
    • Ensure that all services are appropriately staffed and are responsive to changing demands.
    • Develop standardized processes and practices to optimize resources.
    • Oversee staff recruitment, works collaboratively to build recruitment pipeline.
    • Support the development, implementation and management of the health center's quality and patient safety programs.
    • Develop and monitor metrics to meet operational and quality goals, including the reduction of health disparities in communities served by the health center.
    • Serve as the liaison to other areas in the division, department, and hospital to improve the coordination of care.
    • Facilitate staff meetings to disseminate information and solicit input from all members of the health center.
    • Ensure compliance with all MGH/MGPO billing and quality and patient safety goals and standards.
    • Serve as an administrative lead on appropriate division, department, and system meetings and committees.
    • Champion Diversity, Equity, and Inclusion in recruitment and hiring, health center policies, and the clinical care provided by all health center units.
    Financial Management


    • Manage the annual operating and capital budgets for all funds within the health center in coordination with the DGIM finance team.
    • Participates in the development of grant and other funding proposals and oversees existing grants in collaboration with the DGIM research team.
    • Monitor financial performance and ensure appropriate spending within the health center budget; works with leadership team to implement initiatives for cost savings and improved operational efficiency to stay within budget, as appropriate.
    • Present monthly health center financial performance to the health center leadership team.
    • Conceptualize and perform financial analyses to inform proactive decision-making.
    Personnel/Supervisory Responsibilities


    • Lead team of department managers at health center; recruit, train, supervise and ensure professional development of administrative staff members;.
    • Act as a key resource for all health center staff, and effectively troubleshoot, resolve and escalate issues as they arise;
    • Ensure education of all staff about policies and procedures.
    Other division-level responsibilities as assigned.


    QUALIFICATIONS:
    Bachelor's degree required. MBA, MPH or other comparable Master's degree preferred. Minimum of 5-7 years of progressive management experience required, preferably in an ambulatory health care setting. Community Health Center experience is strongly preferred.

    WORKING CONDITIONS:
    Normal office conditions. May be required to attend meetings outside of regularly scheduled hours and in the community.


    SUPERVISORY RESPONSIBILITY:

    • 6 direct reports
    • The health center consists of ~90 FTEs

    FISCAL RESPONSIBILITY:
    The health center's annual budgets of ~$12M
