    JOB GOAL:


    The mission of the Dubuque Community School secretaries is to provide professional support to the educational team thereby enhancing the learning process and high student achievement.


    BASIC FUNCTION:


    Assist the principal, school community (staff, students, parents, support staff) and the public community in providing a smooth and efficient operation of the school to enhance a positive learning environment for students.


    POSITIVE RESPONSIBILITIES:

    • Provide support and assistance to students, staff, and community including parents and school/business partners, AEA, and area agencies.
    • Model exemplary human relations skills (including empathy, humor, patience, problem solving, and resourcefulness) with our learning community.
    • Model multi-cultural non-sexist policies and procedures.
    • Brainstorm/implement initiatives to improve the school culture.
    • Participate in action teams and staff meetings.
    • Facilitate registration day set up and operation and e-registration /first day parent teacher conferences/schedules.
    • Support the school and District in carrying out its directives. Maintain confidentiality in all issues relating to staff and students.
    • Word process communications, awards, handbooks, brochures, Comprehensive School Improvement Plan and other pertinent documents.
    • Facilitate newsletters and other announcements to learning community.
    • Proofread communications and publications.
    • Word process confidential evaluations and/or confidential/sensitive documents.
    • Maintain student and staff files; includes Infinite Campus
    • Oversee budget, funds and finance records (daily, weekly, monthly, and yearly).
    • Maintain supply and equipment inventories.
    • Telephone responsibilities for students and staff.
    • Design/implement database, word processing, and spreadsheet templates.
    • Design/implement database files for publication.
    • Knowledge of automated lunch program and publication.
    • Coordinate daily absences, record keeping, family communication and attendance and tardy policies.

    Knowledge of office technology:
    computer, printers, copiers (including service agreements and pin numbers), intercom, security system, bells, telephones, and paging system.

    • Problem solve and process repair of equipment.
    • Maintain school calendar and collaborate with Buildings and Grounds, Leisure Services, and area organizations.
    • Facilitate invoices, purchase orders, and requisitions through IVisions.
    • Collaborate with Transportation Department to coordinate students and staff bussing needs.
    • Working knowledge of the Aesop System.
    • Utilize school accounting system according to DCSD guidelines.
    • Review and submit bi-weekly and monthly time and attendance to Payroll Department in a timely and accurate manner. Reconcile reports from attendance in Aesop and TimeClock Plus.
    • Collect and process student fees and fines through InTouch receipting.
    • Collaborate with health/clerical paraprofessional.
    • Perform all other duties as assigned.

    About the Company

    The Dubuque Community School District reorganized in the early 1960's with the surrounding rural area and now serves a population of over 70,000.

    Presently, we have a student enrollment of approximately 10,120 students.

    A total staff of 2,522 employees (including 959 certified teachers, counselors and nurses) is presently employed by the Dubuque Community School District.

    The geographical area the Dubuque District serves is over 245 square miles and the District provides school bus transportation approximately 5,000 students each day.

    Eighteen school buildings are utilized to house our educational program: two high schools, one alternative learning center, three middle schools, and twelve K-5 elementary schools.

    Other facilities are provided for transportation, maintenance, cafeteria, and administration.
    Dubuque Public Schools provide a basic curriculum designed to meet the educational needs of children. Special programs include Title I, Learning Resource Services, Special Education, Talented and Gifted, and At-Risk.
