    Personal Assistant

    A leading custom door and window manufacturer located in the beautiful County of Ventura. Our company is dedicated to blending the timeless elegance of historical architecture with cutting-edge modern design, crafting premium steel doors and windows that stand as works of art and we are looking for an exceptional Personal Assistant to support our CEO/Owner and join our team and contribute to our success.

    The ideal candidate possesses a solid background in accounting/finance tasks and is a proactive, detail-oriented, and trustworthy professional who can handle a wide range of clerical administrative tasks, both business and personal, with a high level of discretion.

    Job description

    • Schedule and coordinate appointments, meetings, and travel arrangements
    • Manage emails, correspondence, and phone calls on behalf of the executive
    • Performing minor accounting and basic financial duties.
    • Maintain accurate and up-to-date financial records, invoices, receipts, and payments.
    • Prepare and deliver expense reports to the Executive and finance/accounting department.
    • Able to prepare and draft documents, reports, and presentations as needed.
    • Run personal errands and assist with personal tasks as needed.
    • Attend meetings as necessary, take minutes, and follow up on action items.
    • Assess and prioritize tasks to maximize efficiency and productivity.
    • Act as a liaison between Field Workers, Project Coordinators, and the Administration team.
    • Assist in project management, including tracking progress, setting milestones, and managing deadlines.
    • Handle sensitive information with the utmost discretion and maintain confidentiality at all times

    Requirements & Qualifications:

    • Bilingual; English and Spanish
    • Minimum of 2 years of experience as a Personal Assistant or similar role.
    • Accounting, Finance, Business Administration, or related experience.
    • Proficient in Microsoft Office Suite (e.g., Excel, Word, Outlook).
    • Excellent organizational and time management skills.
    • Strong communication and interpersonal abilities.
    • Discretion and confidentiality in handling sensitive information.
    • Flexibility and adaptability in a fast-paced environment.
