- Provide contracting support and expertise in every aspect of the contracts/subcontracts life cycle and use critical thinking and analytical skills to drive solutions.
- Responsible for supporting contracts and subcontract administration functions to ensure compliance with regulations and established company policies and procedures.
- Work closely with Director of Operations and have working knowledge of Contract/Subcontract types and have the ability to manage in a challenging, fast-paced environment.
- Reviews with Director of Operations and facilitates execution of non-disclosure agreements, teaming agreements, purchase orders, modifications, subcontract and prime contract agreements.
- Supports Director of Operations preparation of Request for Proposals/Quote packages and Solicitation responses.
- Supports Director of Operations with performing comprehensive analyses for price submissions by vendors.
- Preparing, reviewing, routing, and maintaining Purchase Orders, Non-Disclosure Agreements, Teaming Agreements, Subcontracts and Contract award documents.
- Assists with price and Terms & Conditions negotiations.
- Provides contracts / sub contracts administration
- Ensures the appropriate flow down clauses are incorporated into agreements;
- Supports Director of Operations with reviews and provides guidance regarding contractual rights and obligations, and conformance with contract/subcontract terms, conditions, and other provisions, including applicable federal regulations;
- Assist with contract deliverables, reporting requirements, audit prep, purchase orders, and correspondence (both internal and external);
- Actively participate in innovation and process improvement throughout the Contracts Department;
- Assist in maintenance and update of Contracts Database.
- Must work well across all company functions, such as Program Management and Operations, Proposals, Finance/Accounting, Security, Business Development, IT, and Executives.
- Maintain accurate records of valuable company information to including but not limited to hours tracking by project
- Review data for deficiencies or errors, maintain data integrity, correct any incompatibilities, and check output
- Research and obtain further information for incomplete documents
- Understand and Generate reports, store completed work in designated locations and perform backup operations
- Understand how to read and provide contractual and financial inputs to Director of Operations for contract and subcontracts
- Monitor project status on regular basis and create, develop, and generate reports to management.
- Analyze and validate with Director of Operations invoicing, monthly reports and project spends for processing and approval.
- Analyze and validate with Director of Operations project data, determine potential risks and challenges and develop appropriate mitigation plans.
- Provide project control support to assigned projects.
- Analyze project problems and recommend resolutions.
- Monitor project progress to identify and correct delays or deviations.
- Work with Director of Operations to process procurement requests, purchase requisitions and orders for approval.
- Change Management.
- Other duties and special projects as assigned.
- Work independently or in a team to perform daily work assigned by Director of Operations.
- Work in compliance with company rules and regulations.
- 3+ years experience in contracts management or related field.
- Must be US Citizen;
- Excellent customer service skills required
- Detail oriented with strong time-management and problem solving skills
- Must be self-motivated, able to work independently and complete requested tasks on time
- Proficient experience with Microsoft Excel is a must, as well as the Microsoft Office suite (Word, Powerpoint, Outlook, etc.)
- Knowledge of basic accounting principles is a plus
- Maintain data entry requirements by following instructions provided by management in regards to data program techniques and procedures
- Protects operations by keeping information confidential
- Ability to obtain Secret or Top Secret Clearance strongly preferred.
- Solid knowledge of pertinent procurement regulations and practices, including the Federal Acquisition Regulation (FAR), and DFARS.
- Proven organizational skills, professional demeanor, excellent communication skills, both orally and written; detail oriented proficiency with Microsoft Office Suite; ability to multitask under tight deadlines;.
