    Municipal Court Bailiff / Intake Clerk

    JOB TITLE: Municipal Court Bailiff / Intake Clerk

    CLASSIFICATION: Non-Exempt

    DEPARTMENT: Municipal Court

    SUPERVISOR: Municipal Court Judge

    SALARY: $36,135 to $43,362 Annually

    GENERAL JOB DESCRIPTION

    Bailiff/Intake Clerk is responsible for providing security to the courthouse, staff, judges, jurors, defendants, and spectators in addition to providing clerical support. Responsibilities may include assessing threats; removing disruptive individuals; entering and retrieving data from a database; copying documents; and entering citations. Receives general supervision from the Municipal Court Judge.

    PRIMARY DUTIES AND RESPONSIBILITIES
    • Staff each of the Municipal Court Judges during Initial Appearances, Arraignments, and other proceedings, in which the defendant is incarcerated.
    • Ensure Judges have appropriate paperwork from inmates and/or the detention facility for each defendant the court will see for that proceeding.
    • Provide all paperwork, orders, pleadings, etc. to the Judicial Assistant/Clerk assigned to the judge for the proceeding after properly processing cases after a proceeding.
    • Take comprehensive and legible notes of all court proceedings; operate automated court recording system, and ensure proceedings are recorded with minimal defects.
    • Enter and retrieve data through the case management system.
    • Identify individuals in custody with a scheduled video and/or physical court appearance and coordinate with the designated facility for their appearance.
    • Coordinate with Cheyenne Police Department any inmate transfers. Coordinate with Laramie County Detention Facility (and other detention facilities, as necessary) for incarceration as ordered by the Court.
    • Daily import citations from Brazos.
    • Create physical and electronic files for each new case according to proper and appropriate filing protocols.
    • Ensure all new citations related to a given law enforcement agency incident number are grouped appropriately for file creation.
    SECONDARY DUTIES AND RESPONSIBILITIES
    • Answers questions for defendants, the public, attorneys, and any other individuals present at the hearings and assists as needed.
    • Jury Trials-act as bailiff during jury trials.
    • Provide general clerical support by copying documents, filing pleadings, and entering data.
    • Prepare closed/completed files for long-term storage.
    • Record Checks
    • Perform other duties and responsibilities as required.

    • This position requires an ability to:
    • Plan, prioritize, and carry out assignments and projects with minimum supervision.
    • Manage the Courts calendar in conjunction with the calendars of others.
    • Professionally and courteously deal with people, including co-workers, clerks in other courts, attorneys, other judges, and the public.
    • Must be able to perform multiple tasks under varying levels of stress.
    • Security procedures. Various detention facility protocols and procedures.
    • This position requires skills in:
    • Scheduling and planning, complex agendas that change at a moment's notice.
    • Assessing, evaluating, prioritizing, and handling multiple task and projects.
    • This position involves knowledge of:
      • Municipal District Court policies, processes, and procedures.
      • Legal requirements for court operations and case processing.
      • Principles involving planning, scheduling, and calendaring.
      • Applicable State and Municipal rules, codes, and regulations.
      • State and City policies and procedures.
      • Legal terminology.
      • Principles and protocols for managing official documents and records.
      • Principles of file and records management.
      • Principles of book-keeping and/or accounting, including court budgetary and accounting systems, rules, and standards.
      • Principles of inventory control.
    QUALIFICATIONS FOR THE JOB

    Required:

    High school diploma or GED and three (3) years of clerical experience.

    Preferred:

    Paralegal or legal assistant certification.

While performing the duties of this job, the employee is required to maintain effective audio-visual discrimination and perception needed for making observations, communicating with others, reading, and writing. The employee is also required to maintain physical condition necessary for operating assigned equipment, walking, standing, kneeling, repeated bending or sitting for prolonged periods of time and lifting to 30 pounds. Maintain mental capacity which allows the capability of making sound decisions demonstrating intellectual capabilities.
