    OverviewThe Sales Coordinator (On Site) role is responsible for supporting the National Sales Managers, Executive Meeting Managers, and executive managers in the sales department to ensure the sales of group business from a national market.

    Property responsibilities include but are not limited to all activities associated with the administrative support of the sales office.

    Responsibilities include assisting National Sales Managers in all aspects of site tour pre planning as requested, creating proposals, contracts and client communications.

    Additionally, the answering of phones and qualifying business for proper distribution to the appropriate sales manager is expected. A working knowledge of Delphi, Cvent, and Knowland Group software is a plus.

    The position must be proficient in the use of computer systems and have a proficient knowledge of various Microsoft office products.

    This position serves as a first point of contact for future potential business of Terranea Resort and is expected to represent the Resort professionally in their interaction with potential group customers.

    The position requires a thorough understanding of direct sales, account deployment, and the distribution channels related to group room sales.

    Must be able to multi-task, problem solve, manage administrative expectations and be flexible and adaptable to differing situations. Due to the intensity of interaction, excellent inter-personal skills are a must.

    ResponsibilitiesThe answering of the general sales line and the qualifying of inquiry phone calls for proper distribution to the correct sales manager for follow-up.

    The creation of written correspondence to customersCreating proposals to be sent by Sales Managers when requested.
    Set-up site inspections with appropriate on-site communication, planning and follow through.
    Maintain continuous communication with the National Sales Managers as it relates to accurate follow-up and closure of the business.

    Serve as an active participant in all DH&R related sales programs including, but not limited to Synergy Sales, Affinity Team sales, and to serve as a positive advocate for sister properties within the portfolio.

    Perform general office duties and assist other personnel, as required.
    Assist National Sales Managers with expense reporting and compliance with travel policies.
    Maintain a positive working relationship with departments interacting with convention groups.
    Audit contracts for accuracy between the contract and Delphi property management system.
    Stay up-to-date of industry trends and make recommendations of changes which would affect operations.
    Maintain constant contact and excellent relationships with DH&R National Sales, Representation Firms and third-party contacts.
    Familiar with legality of contractual agreements and actively participate in ongoing training opportunities.

    Must be able to effectively deal with internal & external guests, some of whom will require levels of patience, tact and diplomacy to defuse anger, collect factual information and resolve conflict.

    Able to analyze resource reports through Delphi, Market Vision, Cvent, Knowland Group etc.
    Must be able to support multiple Sales Managers in their efforts to close Group Business.
    Hearing and visual ability to observe and detect signs of emergency situations.
    Must be able to communicate verbally and in writing in English and prepare dynamic proposals.
    Ability to access and accurately input information using a moderately complex computer system.
    Provide hands on support during peak business times.
    Must be able to lift, push, and pull a minimum of 25 lbs.
    Must be able to stand/walk/sit 6-8 hours per day.
