Job summary
This position manages all aspects of administrative and financial operations for the American Academy of Pediatrics (AAP) Washington Office. This includes meeting planning budget management grants management negotiating vendor contracts serving as liaison to building management on all services. Additionally this role collaborates with Headquarters staff on human resources procedures recruitment information technology systems assists with administrative duties in the Washington office advocacy staff ensures compliance with lobbying political contribution reporting requirements.Responsibilities
- Prepare analyze manage budgets financial statements reports.
- Process invoices monitor expenses adherence to budget.
- Create agenda books oversee meeting logistics assist grant applications coordinating grant budgets deliverables facilitating meetings ensuring adherence grant requirements administer approve time record keeping assigned staff lead planning execution highly-visible meetings conferences support advocacy efforts promote education programs Advocacy Conference committee meetings events hosted AAP DC office collaborate IT staff implement manage phone IT systems ongoing computer support training negotiate purchase equipment furniture supplies maintenance agreements office lease serve liaison building security emergency preparedness operations develop maintain knowledge local sites related services coordinate vendor relationships oversee development materials including booths graphic design elements electronic printed materials event-related promotional items ensure vendor contract terms followed project bids comply procedure materials approved delivered successfully compile submit required quarterly lobbying reports monitor staff compliance political contribution reporting requirements perform other duties assigned.
