The Sr. Payroll Coordinator at Loomis is responsible for performing a variety of complex administrative, technical, and professional work in the payroll module and in partnership with the HRIS team. The Sr. Payroll Coordinator facilitates and supports the payroll team with the end-to-end payroll process, following all Federal, State, District, and local laws, company policies, and procedures in association with payroll processes, as well as processing payroll for assigned locations. The Sr. Payroll Coordinator supports the creation of documentation and system updates needed for all associated processes, computes wages, and takes the lead to investigate any payroll issues or discrepancies. This role is located in our Houston, TX Corporate office and reports to the Payroll Supervisor.
This is a non-supervisory level position that will work in coordination and as a part of the Loomis Payroll team.
POSITION RESPONSIBILITIES:Duties will include, but may not be limited to the following:
- Performs and provides supervision of all activities necessary to support the payroll team's processing of biweekly and weekly pay cycles.
- Manages payroll workflow to ensure all payroll transactions are processed accurately and timely.
- Assists in the training and education of payroll coordinators in partnership with the Payroll Supervisor.
- Audit payroll entries and processes of team members for checks and balances.
- Responsible for the maintenance of electronic filing systems and purging of payroll records according to established department procedures.
- Identifies areas of opportunity to improve existing processes, functionality, and workflow, and maximizes technological capabilities to reduce manual processes and improve data management and efficiency.
- Processes biweekly payroll and all payroll-related transactions for the assigned locations of the organization.
- Calculate and input salary adjustments, coding, timesheet corrections, and other modifications as needed.
- Reconcile the outstanding list of payroll checks, as needed.
- Reconcile payroll State and Local taxation, and YTD adjustments.
- Prepare reports for the verification process and balancing between the WFM and Payroll module for time and attendance accuracy.
- Process special payroll transactions such as corrections, bonus pay, replacements, final paychecks, and retroactive pay as appropriate.
- Set up both statutory and voluntary deductions for direct deposits, tax withholdings, certificated and classified union dues, and other assigned deductions.
- Responsible for weekly/biweekly/monthly/quarterly reporting on Payroll activity
- Process wage assignments, garnishments, and other withholding orders as directed by the court or taxing authorities.
- Prepares relevant management reports, including weekly, monthly, quarterly, and year-end reports.
- Communicate with branch management personnel and HR partners to resolve escalated payroll issues, researching information and explaining various policies, procedures, and regulations and requirements affecting pay.
- Respond to employee requests for clarification on pay, deductions, and adjustments.
- Other duties as assigned.
REQUIRED SKILLS AND ABILITIES:

- Strong math and analytical skills.
- Ability to work in a fast-paced work environment, managing a variety of tasks simultaneously with efficiency, with a large and diversified workload and challenging situations.
- Be well organized and detail-oriented with the capability of maintaining focus with continuous interruptions.
- Intermediate knowledge of Microsoft Word, Outlook, and OneNote.
- Advanced proficiency in Microsoft Excel, including VLOOKUP, Pivots, and complex formulas.
- Able to establish priorities and proceed with objectives with limited supervision.
- Strong interpersonal skills with the ability to maintain relationships and interact professionally with branch management and employees.
- Effective and professional communicator, both verbal and written, with teammates as well as for groups and individual employees.
- Understand and interpret rules, regulations, and written standards.
- Maintain in confidence sensitive payroll information with respect to employee privacy.
EDUCATION AND EXPERIENCE QUALIFICATIONS:
- Associate's Degree in Accounting, Business, Finance, or related field.
- Minimum of 5 years high volume payroll experience utilizing a computerized payroll system.
- 3-5 years of increasingly responsible payroll experience in all areas of payroll practice.
- Subject Matter Expert experience in multiple payroll processing systems, Dayforce preferred
- Current, working knowledge of payroll, tax, and labor laws, and other relevant legislation
- CPP or FCP Designation, preferred
ESSENTIAL JOB FUNCTIONS:
- Sustained sitting for an 8-10 hour workday.
- Work may be required outside of normal hours during peak periods.
- Clear vision for a computer screen and printed materials.
- Ability to make color distinctions and have normal depth perception
- Ability to move safely throughout an office building setting.
- Ability to communicate effectively via speech, hearing, and writing, in person and telephonically.
- Ability to use a computer keyboard and mouse with accuracy and speed.
- Occasionally bending, stooping, kneeling, reaching, pushing, and pulling drawers open and closed to retrieve and file information.
- Lifting of paperwork, no greater than 10 lbs.
- Must be able to work in an environment with moderate noise while surrounded by teammates.
