    Job Description

    The Radiology Department at Stanford University is made up of well-known professionals and programs. As we aim to have a significant impact on personalized medicine development, moving advancements from labs to clinics for better patient-focused care, our Administrative Associates play a key role in helping our department achieve this.

    We are in search of an Administrative Associate 2 who will handle on-site office management for the Lucas Building occupants and provide administrative support for the four magnets. Candidates must be highly organized, detail-oriented, and efficient at multitasking. Regardless of the task, candidates should exhibit sound business judgment, professional behavior, and exceptional analytical and problem-solving skills. Alongside a positive attitude and friendly demeanor, excellent communication skills for interactions with diverse groups of people are highly valued.

    Duties include:

    • Respond to inquiries and take necessary actions. Serve as a knowledgeable resource on specific policies and procedures.
    • Manage tasks related to scheduling, organizing, and running conferences, seminars, and events. This includes suggesting service vendors, overseeing material production and distribution, managing logistics, and acting as a liaison with both internal and external vendors.
    • Organize calendar(s) through consultations, resolve scheduling conflicts, and arrange travel in line with unit, university, and sponsor guidelines.
    • Handle routine financial transactions, including resolving discrepancies.
    • Maintain office supplies and equipment, obtain vendor quotes as required, and coordinate office relocations.
    • Act as the point of contact for general maintenance, health, safety, and facility matters within the unit(s). Report any incidents or safety issues to the appropriate contacts. Track completion of mandatory training.

    *- Additional duties may be assigned as well.

    EDUCATION & EXPERIENCE (REQUIRED):

    High school diploma along with three years of administrative experience, or a mix of education and relevant experience.

    KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

    • Proficiency in computer usage and experience with office software and email applications.
    • Proven record of task completion and follow-through on routine assignments.
    • Excellent organizational skills and attention to detail.
    • Strong verbal and written communication capabilities.
    • Great customer service and interpersonal skills.
    • Ability to manage priorities and handle multiple tasks.

    PHYSICAL REQUIREMENTS*:

    • Regular desk-based computer work.
    • Frequent sitting.
    • Occasional standing/walking, reaching above shoulders, grasping, and light manipulation, using a telephone, sorting/filing paperwork, and lifting/carrying/pushing/pulling items weighing up to 10 pounds.
    • Infrequent twisting/bending/stooping/squatting, kneeling/crawling.

    WORKING CONDITIONS:

    On-site work five days a week (Monday to Friday).

    The salary range for this role is between $27.40 and $37.02 per hour.
