About the Role:
Job Title: Administrative Assistant to Residential Manager
Reports to: Residential Manager
Location: The Eclipse Condominium
Employment Type: Full Time
Schedule: M-F 9:00 am-6:00 pm
Position Summary:
We are seeking a detail-oriented and organized Administrative Assistant to provide direct support to the Residential Manager in ensuring the smooth day-to-day operations of our residential facility/program/property. This role requires excellent communication, administrative, and time-management skills to assist in handling resident relations, documentation, scheduling, and coordination of services.
Responsibilities:
- Provide administrative support to the Residential Manager, including calendar management, meeting coordination, and communications.
- Maintain resident files and records in compliance with company policies and regulatory standards.
- Handle incoming calls, emails, and visitor inquiries in a professional and courteous manner.
- Coordinate with maintenance, housekeeping, or support staff to ensure timely resolution of resident issues or facility needs.
- Track and order office and facility supplies; manage vendor communications as directed.
- Maintain confidentiality of resident information at all times.
- Perform general office duties such as filing, data entry, scanning, and mailing.
Qualifications:
- High school diploma or equivalent required.
- 2+ years of administrative experience, preferably in a residential, or property management setting.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills and ability to prioritize tasks.
- Excellent written and verbal communication skills.
- Ability to work independently and maintain professionalism under pressure.
- Sensitivity to the needs and privacy of residents.
Working Conditions:
- Office-based with regular interaction in residential areas.
- May occasionally require evenings/weekends depending on resident needs or events- with proper notice given.
