    Position Summary

    The Fundraising Data Management Assistant plays a vital role in supporting the annual Research Campaign, ASHRAE Foundation, and Major Gifts/Corporate Fundraising programs through effective data management and organizational skills.

    Essential Duties and Responsibilities

    • Identify, code, and accurately enter contributions in NetForum (contact/donor management system).
    • Maintain and update constituent records in NetForum, correcting any inaccuracies as needed.
    • Organize and manage system reports during collaborative meetings with IT, providing necessary reports for Development Staff.
    • Keep filing systems organized for both electronic and hard copy documentation related to the RP Campaign, Foundation, and major gifts programs.
    • Assist in preparing and shipping documents and materials for Society meetings and training sessions.
    • Prepare and send out donor recognition items, awards, and campaign support materials.
    • Track the shipment of certificates, awards, and supplies for the RP Campaign and CRC events.
    • Manage financial reports, including preparing reimbursements, tracking expenses, and generating monthly budget reports.
    • Electronically update the ASHRAE Wall of Honor as necessary throughout the year.
    • Provide assistance with various tasks related to RP, Foundation, COF, LCM, and Development Committee as requested by Development Managers.
    • Prepare and distribute correspondence, lists, meeting agendas, meeting minutes, and additional documents as directed by Development Managers.
    • Help plan trips for visiting volunteers, donors, and prospects; prepare informational packets, schedule appointments, and make travel arrangements.
    • Coordinate meetings and conference calls efficiently.
    • Maintain professional and technical knowledge required to fulfill job responsibilities.
    • Complete special projects and other tasks as assigned by the Director of Development or Development Managers.

    Minimum Qualifications (Knowledge, Skills, and Abilities)

    • A minimum of 4 years of administrative office experience with strong oral and written communication skills.
    • Proficient in Microsoft Office applications, particularly Microsoft Word, Excel, and PowerPoint.
    • Able to coordinate, prioritize, and complete multiple projects under tight deadlines in a fast-paced environment.
    • Exceptional research and organizational skills.
    • Capable of handling confidential matters with discretion.
    • Ability to take direction and work effectively as part of a team.
    • Strong interpersonal skills to establish and maintain effective working relationships.
    • A minimum of an Associate degree (Bachelor's degree preferred).
