    Description

    The Senior Office Manager plays a key role in ensuring the efficient operation of administrative functions across the firm's real estate development and property management divisions while coordinating with related aviation and hospitality businesses. This individual brings strong administrative expertise, supervisory experience, and operational leadership to ensure organizational consistency, compliance, and service excellence. This role requires a proactive, hands-on professional comfortable working across departments and managing both operational priorities and administrative execution.

    Key Responsibilities

    • Oversee daily administrative workflows including reception, document control, scheduling, and interdepartmental coordination.
    • Maintain systems for tracking contracts, permits, and property documentation.
    • Develop, implement, and continuously improve office procedures to ensure compliance, efficiency, and operational consistency.
    • Manage office budget and procurement of supplies, equipment, and services.
    • Supervise, mentor, and evaluate administrative staff (currently two direct reports).
    • Assist with onboarding and training in IT and office procedures for new hires across departments.
    • Provide high-level administrative support to senior leadership including calendar management, meeting logistics, banking assistance, and confidential communications.
    • Ensure adherence to company policies and local/state regulations.
    • Distribute operational reports and presentations for internal and external stakeholders.
    • Negotiate and oversee IT and office administration vendor contracts and service agreements.
    • Oversee coordination with the outside technical support teams, ensuring timely resolution of IT issues, effective communication, and alignment with company technology needs.
    • Monitor staff adherence to internal IT policies and procedures.

    Qualifications

    Experience: 5+ years office management experience, including progressive responsibility in office and operations management.

    Industry Knowledge: Experience or familiarity with real estate development and property management is preferred.

    Skills

    • Excellent organizational and communication skills.
    • Proficiency in Microsoft 365, project management tools, and CRM systems.
    • Experience with Laserfiche file management software preferred
    • Ability to manage multiple priorities and lead cross-functional initiatives.
    • Strong discretion and ability to handle confidential information.

    Physical Requirements

    • Ability to sit and/or stand at a desk and use a computer for extended periods of time.
    • Repetitive use of hands for typing, filing, and operating standard office equipment like copiers and scanners.
    • Ability to lift and move office supplies (e.g. reams of paper) weighing up to 25 pounds.
    • Occasional standing, walking, bending, stooping, and reaching to manage files.
    • Normal range of vision (close and distance) for reading documents and screens, as well as clear hearing for phone and in-person communication.
