Job Summary
We are seeking a positive, dynamic, and organized Orthodontic Office Manager to lead and oversee the daily operations of our orthodontic practice. This vital role combines administrative expertise with team leadership, ensuring smooth office functioning, exceptional patient service, and efficient practice management. The ideal candidate will be proactive, detail-oriented, and passionate about creating a welcoming environment for both staff and patients. As the backbone of our office, you will coordinate administrative tasks, manage vendor relationships, oversee scheduling, and support the clinical team to deliver outstanding orthodontic care.
Responsibilities
- Manage day-to-day office operations, including front desk activities, appointment scheduling, and patient check-in/check-out procedures.
- Supervise administrative staff, providing training, guidance, and performance evaluations to foster a motivated team environment.
- Oversee schedule management to ensure optimal appointment flow and patient satisfaction.
- Handle vendor management by coordinating supplies procurement, equipment maintenance, and service contracts to keep the practice running smoothly.
- Maintain accurate bookkeeping and financial records using QuickBooks or similar accounting software; process payroll and manage billing procedures.
- Organize office events and community outreach programs to promote practice growth and patient engagement.
- Ensure compliance with medical office regulations, human resources policies, and confidentiality standards while managing employee records and filing systems.
Skills
- Proven experience in office management within a medical or dental setting, with strong clerical and administrative skills.
- Excellent communication skills with a professional phone etiquette for multi-line phone systems and patient interactions.
- Strong organizational abilities to handle schedule management, calendar coordination, and filing systems efficiently.
- Experience supervising staff members with a focus on training & development to enhance team performance.
- Proficiency in QuickBooks for bookkeeping, payroll processing, budgeting, and financial reporting.
- Knowledge of human resources practices including hiring, onboarding, employee relations, and compliance standards.
- Ability to manage vendor relationships effectively while overseeing office supplies and equipment maintenance.
