    Description

    Bellingham Technical College (BTC) invites applications for one full-time professional exempt position as an Associate Director of Enrollment Services. This is an exempt, non-represented position, is Fair Labor Standards Act (FLSA) exempt from overtime and is at-will. This position reports to the Executive Director of Enrollment Services and is anticipated to start in July 2024.

    Under the general direction of the Executive Director of Enrollment Services, oversee admissions and enrollment activities within the institution. Work collaboratively with faculty and other BTC employees to refine existing and develop new admissions and enrollment policies and practices. Help coordinate customer services within the Enrollment Services Department and assist with student transcript evaluation for prerequisite and transfer credit and assessment test waivers to facilitate the enrollment of students. Manage strategic and special projects to better coordinate service delivery cross-functionally in Enrollment Services. Oversee and provide support for Enrollment Services activities and functions as needed.

    Position Duties & Responsibilities
    • Assign, coordinate, supervise, monitor, and evaluate the admissions and enrollment processing work of enrollment services staff members, ensuring that services are provided effectively and in accordance with applicable laws, regulations, contracts, and policies;
    • Oversee and assist with receipt and evaluation of transcripts, guided self-placement reports, and other educational records;
    • Serve as the Residency Officer for the College and as a Designated School Official for international students participating in the Student Exchange and Visitor Program;
    • Develop and implement plans for monitoring, assessment, and evaluation of program services;
    • Develop, implement, and coordinate efficient procedures for sharing student information with the Computer Services Department (CISS) to credential student accounts upon admission;
    • Collaborate with CISS and student services staff to identify potential fraudulent applications and follow state processes to block accounts as needed;
    • Communicate and collaborate with other programs within the college and represent the areas at college meetings, trainings and events;
    • Respond to admissions and enrollment inquiries as needed, including providing appropriate information on BTC's programs, courses, and services;
    • Support the Executive Director in responding to IPEDS survey collection modules;
    • Oversee and assist with computerized program record keeping; tracking activities, and development of enrollment strategies;
    • Oversee and assist with receipt and evaluation of transcripts, guided self-placement reports, and other educational records;
    • Serve as the primary liaison with Outreach;
    • Serve as Acting Director for Executive Director of Enrollment Services as needed;
    • Perform other duties as assigned.
    Qualifications
    • Bachelor's degree at time of hire; AND
    • At least three years of full-time experience in academic/career or counseling, case management;
    • OR an equivalent combination of education, to include two years of recent professional experience that provides the applicant with knowledge and skills to meet the following expectations:
      • Provide effective support to a diverse student population
      • Support equitable and ethical practices in admissions decisions
      • Successfully manage frequent interruptions to work, requests for updates, and requests for data
      • Prioritize and meet a variety of deadlines
      • Evaluate college transcripts to award credit
      • Supervise employees
  • Knowledge of and experience in addressing matters such as, but not limited to: recruiting and retaining diverse students; creating welcoming environments for all people of color, members of the LGBTQ+ community, non-native English speakers, immigrants, and people of varying abilities; addressing inequities and conflicts related to race, power, white privilege, institutional racism, and implicit bias;
  • Demonstrated computer skills in developing and maintaining spreadsheets, data base entry and management; development of promotional materials, and correspondence.
  • Preferred Qualifications:
    • Experience leading successful teams;
    • Experience working in a community or technical college;
    • Experience using ctcLink or similar student information system;
    • Experience facilitating workshops, seminars, and presentation;
    • Experience with selective admissions.

    Physical and Work Environment:
    Typically require: operating a computer, communicating, observing and repetitive motions. Work is primarily performed in an office environment and requires standing and/or sitting and using computers for extended periods of time. Frequent need for oral, written and auditory communication; Working in an open office environment with frequent interruptions and distractions; Exercising independent judgment in gathering, arranging, and evaluating data. May exert between 10-30 pounds of force occasionally and/or a negligible amount of force frequently or constantly to transport, put, install, remove, or otherwise move objects.
    Supplemental Information

    Compensation, Benefits and Work Schedule:
    The salary is $6,558 per month (~$78,696 per year).

    Position receives 8 hours per month of sick leave, 16 hours per month of vacation leave, 24 hours of personal leave and 12 paid state/college holidays per calendar year. Benefits also include a Washington State insurance package including medical, dental, vision, life insurance, and long-term disability; a retirement benefits package, with choice between the Public Employees Retirement System (PERS) Plan 3 or the State Board Retirement Plan (SBRP) 401A plan TIAA. Additional optional benefits include ability to participate in a medical Flexible Spending plan, Limited Purpose Flexible Spending plan, or Health Savings Account; Dependent Care Assistance; discounts for automobile and homeowner insurance, tuition waiver; two voluntary investment (not matched) programs - TIAA (403b) or the State Deferred Compensation (457) plan. Employee Assistance Program (EAP); up to 21 days of military leave; up to 5 days of paid bereavement leave, paid civil/jury duty, ability to participate in a shared leave program; and up to 2 days of unpaid holiday for reasons of faith or conscience.

    Work schedule is generally Monday through Friday, about 40 hours per week, however, schedule may vary including split, weekend, and evening assignments. The position will be expected to work onsite full-time with possibility of some flexible remote work.
