    Job Summary:

    A dynamic individual is sought to oversee various aspects of our operations, including vendor management, RIA compliance, investment operations, fundraising, KYC/AML, and special projects. This role requires strong organizational skills, attention to detail, and the ability to work effectively with multiple stakeholders.

    Key Responsibilities:

    Vendor Management

    • Maintain a master vendor list, ensuring up-to-date information on all partners and vendors.
    • Assist partners with critical vendor reviews, sending questionnaires and following up with reminders or additional questions as needed.
    • Request SOC reports and other vendor data as necessary, fostering transparency and accountability within our network.
    • Conduct ad hoc fee analysis projects to ensure fair compensation for services rendered.
    • Collaborate with the Chief Compliance Officer (CCO) to develop and maintain a comprehensive vendor risk matrix.

    RIA Compliance

    • Support partners in adhering to non-Code of Ethics elements of our compliance program, such as Bad Actor questionnaires and Annual review document production.
    • Maintain an accurate compliance calendar, ensuring timely completion of tasks and deadlines.
    • Work closely with the CCO to enforce compliance review procedures and documentation, guaranteeing adherence to regulatory standards.
    • Provide assistance with mock/SEC examination document production, preparing our team for potential audits.

    Investment Operations

    • Ensure accurate maintenance of portfolio finance/operations contact information, facilitating seamless communication and collaboration.
    • Distribute data request surveys and track responses from our partners and vendors.
    • Complete applications for new account openings, streamlining our onboarding process.
    • Evaluate and update Know Your Customer (KYC) records, guaranteeing current and compliant files.
    • Owning custody tracker, ensuring secure and transparent asset management.

    Fundraising

    • Interface with AML/KYC vendor to obtain KYC requests, maintaining a proactive approach to due diligence.
    • Track the status of all prospects and flag emails requiring SC responses, ensuring swift resolution of queries.
    • Transfer subscription booklet data into close spreadsheets, enhancing our financial reporting capabilities.
    • Develop and maintain a side letter matrix, providing a clear overview of our investment strategies.

    KYC / AML

    • Collaborate with AML/KYC vendor to maintain an updated list of outstanding LP KYC requests, prioritizing timely completion.
    • Request AML (WorldCheck) reports from Trident for prospective investments, reinforcing our commitment to thorough research.

    Special Projects

    • Partner with the management team on special projects, including the development of an operations manual, DDQ drafting and maintenance, and portfolio data portal creation.

    Accounting/Reporting

    Manage fund reporting and performance tracking, ensuring timely and accurate financial disclosures.

    Oversee third-party service providers, encompassing fund admin, banking, accounting, and T&A, guaranteeing seamless integration and effective management.

    Budgeting, Financial Planning & Analysis (FP&A), and variance reporting, providing strategic insights to inform our decision-making processes.
