Executive Assistant

Caribou, Maine

Our client is seeking an Executive Assistant, to be based in their Northern Maine office.

Requirements of the Executive Assistant:

3-5 years of experience with a proven track record in administrative roles
Computer proficiency with MS Office Suite and standard office equipment
Meticulous organizational skills with the ability to manage time efficiently
Strong attention to detail
Ability to maintain a high level of confidentiality and discretion regarding company information
Familiarity with project and business terminology
Ability to work onsite Monday through Friday.
Some travel may be required.

Benefits of the Job:

Annual pay in the range of $45,000 to $55,000
Benefits include health, vision and dental insurance

Responsibilities of the Executive Assistant:

Answer phones professionally with a focus on customer service
Process daily mail, including distribution to remote offices
Maintain schedule for the company President
Routine OSHA and DEP reporting
Building maintenance, including maintenance and cleaning contracts and lessee relationships
Ensure timely vehicle registrations and coordinate vehicle insurance
Book travel arrangements for management and engineers
Maintain physical and electronic files
Attend meetings, take notes, distribute for review and confirmation, and maintain records
Foster positive and productive client relationships

Our client is a leader in solid fuel energy systems and industrial drying systems. This position reports to the Chief Financial Officer and will be responsible for supporting the executive staff in all administrative functions and processes. In addition, this position involves working closely with engineering, construction and accounting staff at multiple entities.
