- Patient Reception and Check-In:
- Greet patients and visitors with a warm and welcoming demeanor, creating a positive first impression of the clinic.
- Register patients for appointments, verify demographic and insurance information, and collect co-payments or fees as needed.
- Direct patients to appropriate waiting areas and notify clinical staff of patient arrivals in a timely manner.
- Appointment Scheduling and Coordination:
- Schedule patient appointments, tests, and procedures using electronic scheduling systems, ensuring accuracy and efficiency.
- Coordinate scheduling changes, cancellations, and rescheduling requests as necessary, communicating with patients and clinical staff to minimize disruptions.
- Provide patients with appointment reminders, instructions, and pre-visit preparations as needed.
- Administrative Support:
- Answer incoming phone calls, respond to inquiries, and route calls to the appropriate department or individual.
- Maintain electronic and paper medical records, ensuring confidentiality and compliance with HIPAA regulations.
- Assist with administrative tasks such as faxing, scanning, filing, and data entry to support clinic operations.
- Patient Communication and Education:
- Serve as a resource for patients regarding clinic policies, procedures, and services, providing clear and accurate information.
- Educate patients on completing forms, obtaining referrals, and navigating the healthcare system to facilitate a smooth patient experience.
- Communicate with patients regarding test results, follow-up appointments, and other relevant information as directed by clinical staff.
- Clinic Environment Maintenance:
- Ensure the reception area, waiting room, and other common areas are clean, organized, and stocked with necessary supplies.
- Monitor and maintain patient flow to minimize wait times and optimize efficiency in the clinic.
- Collaborate with clinic staff to identify opportunities for improving patient satisfaction and workflow processes.
- High School Diploma or GED is preferred, but not required.
- 1 year of prior experience in a medical or clinic setting is preferred.
- Basic Life Support (BLS) issued by the American Heart Association is preferred, but not required.
- Proficiency in medical terminology and administrative skills.
- Excellent communication and customer service skills.
- Knowledge of privacy regulations, such as HIPAA.
- Strong computer proficiency and organizational abilities.
- Adaptability, attention to detail, and effective time management.
- Sitting: The role primarily involves sitting for extended periods while performing administrative tasks at a computer workstation or front desk.
- Standing: Occasional standing may be required when assisting patients at the reception area or providing directions.
- Lifting: Minimal lifting may be necessary when handling files or office supplies.
- Keyboard Use: Regular use of a computer keyboard for data entry and documentation.
