    Position Summary

    The Heart & Vascular Center at Watauga Medical Center is seeking a friendly, organized, and customer-focused individual to join our team as a Clinic Receptionist. This position serves as the first point of contact for patients, visitors, and healthcare providers entering our clinic, providing exceptional customer service and administrative support. The ideal candidate will possess excellent communication skills, attention to detail, and a passion for delivering compassionate care to our patients. Key responsibilities include:
    1. Patient Reception and Check-In:
      • Greet patients and visitors with a warm and welcoming demeanor, creating a positive first impression of the clinic.
      • Register patients for appointments, verify demographic and insurance information, and collect co-payments or fees as needed.
      • Direct patients to appropriate waiting areas and notify clinical staff of patient arrivals in a timely manner.
    2. Appointment Scheduling and Coordination:
      • Schedule patient appointments, tests, and procedures using electronic scheduling systems, ensuring accuracy and efficiency.
      • Coordinate scheduling changes, cancellations, and rescheduling requests as necessary, communicating with patients and clinical staff to minimize disruptions.
      • Provide patients with appointment reminders, instructions, and pre-visit preparations as needed.
    3. Administrative Support:
      • Answer incoming phone calls, respond to inquiries, and route calls to the appropriate department or individual.
      • Maintain electronic and paper medical records, ensuring confidentiality and compliance with HIPAA regulations.
      • Assist with administrative tasks such as faxing, scanning, filing, and data entry to support clinic operations.
    4. Patient Communication and Education:
      • Serve as a resource for patients regarding clinic policies, procedures, and services, providing clear and accurate information.
      • Educate patients on completing forms, obtaining referrals, and navigating the healthcare system to facilitate a smooth patient experience.
      • Communicate with patients regarding test results, follow-up appointments, and other relevant information as directed by clinical staff.
    5. Clinic Environment Maintenance:
      • Ensure the reception area, waiting room, and other common areas are clean, organized, and stocked with necessary supplies.
      • Monitor and maintain patient flow to minimize wait times and optimize efficiency in the clinic.
      • Collaborate with clinic staff to identify opportunities for improving patient satisfaction and workflow processes.

    Position Qualifications

    Minimum Education
    • High School Diploma or GED is preferred, but not required.
    Experience
    • 1 year of prior experience in a medical or clinic setting is preferred.
    Required Registration/License/Certification
    • Basic Life Support (BLS) issued by the American Heart Association is preferred, but not required.
    Knowledge, Skills and Abilities
    • Proficiency in medical terminology and administrative skills.
    • Excellent communication and customer service skills.
    • Knowledge of privacy regulations, such as HIPAA.
    • Strong computer proficiency and organizational abilities.
    • Adaptability, attention to detail, and effective time management.
    Physical Demands
    • Sitting: The role primarily involves sitting for extended periods while performing administrative tasks at a computer workstation or front desk.
    • Standing: Occasional standing may be required when assisting patients at the reception area or providing directions.
    • Lifting: Minimal lifting may be necessary when handling files or office supplies.
    • Keyboard Use: Regular use of a computer keyboard for data entry and documentation.
    • Vision: Good visual acuity for reading patient information, documents, and computer screens.
    Working Conditions
    • Indoor Environment: The clinic receptionist works indoors in a climate-controlled office environment.
    • Interaction: Regular interaction with patients, families, healthcare professionals, and colleagues.
    • Noise Level: The work environment may include moderate levels of noise related to patient and staff interactions.
    • Schedule: Typically follows regular business hours, but may include occasional evenings, weekends, or holidays based on clinic needs.
    • Safety: Adherence to safety and infection control protocols is essential to maintain a safe work environment.
