Description & Details:

This position exists to support all administrative and operational functions of the Department of Public Health. The Program Assistant will provide executive assistance to the Chair, as well as provide overall administrative, academic, and accounting support to the Department. This position fosters an office culture that is positive, forward thinking, proactive, and inclusive. This position is not eligible for remote work.

The Program Assistant will serve to foster an office/department culture that is positive, forward thinking, proactive, and inclusive for the Department of Public Health (DPH). This position is key to the department for administrative and operational support, ensuring operations are performed efficiently and smoothly. Responsibilities will include support for students, faculty, and staff within the department to encompass academic needs, service, and research opportunities.

Currently, the Department of Public Health has 9 full-time faculty members and 12 research and administrative staff. There are 25-30 MPH students that matriculate each year, with approximately 30% using the distance learning option. The department houses two research centers: the American Indian Public Health Resource Center (AIPHRC) and the Center for Immunization Research and Education (CIRE), as well as several Maternal Child Health projects. ESSENTIAL DUTIES AND RESPONSIBILITIES:

Administrative Support: Assist in the day-to-day administrative operations of the department, including but not limited to managing correspondence, maintaining records, preparing reports, and handling confidential information with discretion.

Program Coordination: Coordinate logistics for academic programs, including scheduling classes, arranging meetings, and organizing events such as workshops, seminars, and guest lectures.

Student Support: Serve as a point of contact for students regarding program information, course registration, and academic advising. Assist in resolving academic issues and directing students to appropriate resources.

Faculty Assistance: Support faculty members with administrative tasks related to their teaching and research activities, including material preparation, grant application support, and coordination of academic assessments.

Database Management: Maintain and update academic databases, ensuring accurate and timely information on courses, schedules, and student records.

Event Planning: Plan and execute departmental events, including academic conferences, student orientation, and faculty meetings, managing logistics from venue booking to catering arrangements.

Communication: Facilitate effective communication within the department and with external stakeholders through regular updates, newsletters, and the department's website content management.

Advertised Salary: $45,000 + commensurate with experience

Minimum Qualifications:

Associate's Degree or five years of administrative/office experience or an equivalent combination of education and experience is required.

3+ yrs experience working in high paced, diverse, and technology driven office

Effective verbal and written communication skills are required.

Fluency in computer and technology including but not limited to: Microsoft Office suite, Google Drive Apps, Social Media platforms, and Zoom

Willingness and responsiveness to learning new technologies and tasks
Preferred Qualifications:

Bachelor's Degree

Experience working with college students in a campus environment
