Description
General Description:
GiFT seeks highly motivated Office and Program Coordinator who will provide administrative support to the Executive Director, Case Manager, and Board of Directors; assure all organization's operating tasks are completed in a timely manner; coordinate project deliverables and conduct administrative duties.
Job Duties:
Conduct administrative duties including filing, answering phone, responding to emails, coordinating calendars, reconciling purchase orders and invoices, and preparing/updating documents
Greet visitors and provide tours as needed
Compose and send acknowledgement letters donors, partners, & supporters
Enter data and organize database of donors and supporters
Maintain stockroom inventory:
anticipate and order needed supplies from multiple vendors
Data entry into multiple platforms including Google Sheets
Coordinate outreach, scheduling, and training for existing and prospective volunteers
Maintain all office equipment/supplies
Coordinate delivery of resource to GiFT partners or directly to client families (ie. may include gathering and distributing infant care essentials)
Assist with other tasks as necessary
Skills/Competencies:
Flexibility, teamwork, and effective communication
Works well among community members, volunteers, board members, hospital staff, and partner organizations
Strong organizational and time management skills
Proficient in Google Drive, Google applications, Microsoft Word, and Excel
Working knowledge of Facebook, LinkedIn, Twitter, Instagram preferred
Working knowledge of Mailchimp, Canva, WIX preferred
Working knowledge of database CRM, Salesforce preferred
High School diploma or higher education level
Office administrative experience, 1-2 yrs preferred
Regular and reliable attendance
Strong team leadership and project management skills
Ability to work without direct supervision
Ability to handle confidential information and maintain strict confidentiality
Strong record keeping skills and attention to detail
Work Environment/Physical Demands
Must have ability to read, write and communicate fluent English via phone, email and in person; ability to compose documents in the appropriate business style using correct grammar and spelling.
The physical demands regularly require the employee to use hands, arms and fingers to handle/operate tools and equipment; to walk, sit, climb, balance and crouch.
