    Executive Assistant to CEO

    We are seeking an Executive Assistant to support the CEO of a rapidly growing international portfolio. The CEO resides primarily in the UK with travel to South Florida where this person will be based out of. This will also have a dotted line to the other C level executives for support as needed. The Executive Assistant will serve as a first point of contact for matters related to the executive leadership. This role will liaise and maintain strong and effective communication within and outside of the company.

    Requirements

    • 7+ years of professional experience with at least 3 years supporting a C level executive
    • Able to work full time out of Brickell office
    • Bilingual in English and Italian (Italian can be conversational)
    • Excellent oral, written, interpersonal communication, organization and time management skills. Strong critical thinking and decision-making skills.
    • Ability to thrive in a fast-paced environment with a 'get it done' attitude.
    • Proficiency in Microsoft Suite including Outlook, Excel & PowerPoint.
    • Experience managing travel, logistics and complex meetings.

    Responsibilities

    • Support the CEO through the ongoing management and monitoring of inbound and outbound email activity. Read and route correspondence as needed.
    • Maintain executive's appointment schedule by planning and scheduling meetings, events and travel.
    • Ensure that meetings are scheduled according to priority and importance.
    • Protect the company and executive team by maintaining confidentiality at all times.
    • Arrange internal meetings with leadership.
    • Develop itineraries and agendas to ensure efficiency of time invested.
    • Drive the coordination and preparation of reports, presentations and other communications.
    • Liaise with leadership and management team members, executive assistants and middle managers to request and assemble information for consumption.
    • Assist in formatting and proof reading of business documents, internal and external reports.
    • Execute projects and special assignments by establishing objectives, determining priorities and managing timelines.
    • Create status reports and general tracking mechanisms to ensure achievement of objectives through a detailed approach to task execution.
    • Handle day-to-day operations and specific tasks in a fast-paced environment with a high level of professionalism and attention to detail.
    • Manage reconciliation of payment, invoices and other booking tasks
