    The University Corporation at Monterey Bay invites your interest for the position of Administrative Analyst, College Corps.

    This position is dependent upon grant funds. Current funding expires in July 2026, with prospects for renewal.

    PROGRAM SUMMARY:
    The is part of a statewide initiative to support the next generation of leaders while reducing the cost of college for low to modest income students and students of color. Our goal is to develop, mentor, train, and inspire future transformative community leaders through a year of service and mentorship. This program will support College Corps Fellows who will contribute 450 hours over an academic year in exchange for $10,000 in educational support. Fellows will work with nonprofits and K-12 settings addressing issues of equity, climate action, food insecurity and health promotion. Building on the at CSUMB, the College Corps program seeks to develop future community leaders who: understand their own identities; act with compassion and cultural competence; analyze complex social issues; and develop the collaborative skills to work toward equity.

    POSITION SUMMARY:
    Under the direction of the Principal Investigators (PIs), the College Corps Administrative Analyst is responsible for the budget and administrative functions of the College Corps Program. The Analyst is responsible for fiscal management, sub-contract management, and budgetary oversight.
    Examples of Duties

    ESSENTIAL DUTIES AND RESPONSIBILITIES include. but are not limited to. the following:
    OVERALL
    • Coordinate and oversee administrative functions of the College Corps program, including budget, personnel, course scheduling, purchasing, and subcontracts
    • Establish procedures and policies for coordinating with University Corporation, Financial Aid, Advising, Student Leadership in Service Learning Program, Service Learning Institute, CSUMB service learning faculty, Basic Needs, and other university partners. Develop working relationships with campus and community partners.
    • Recommend and implement modification to systems, policies, and procedures regarding College Corps activities and services in the grant and at the community sites.
    BUDGETARY OVERSIGHT
    • Manage, reconcile and monitor the two College Corps budgets, which includes the AmeriCorps budget and the Dreamer budget
    • Analyze expenditures and make recommendations for third and fourth year of program
    • Develop a spending plan for the AY
    • Develop tracking procedures for all grant expenditures and projections.
    • Track expenditures on all grant categories, including personnel, supplies, travel, mileage, scholarships, and subcontracts
    • Oversee payments for training expenses, including bus transportation, meals, room rental, catering, reimbursements
    • Oversee and implement the payment of living allowances, educational awards, Segal Educational Awards
    • Oversee transportation reimbursements: i.e., Lyft account, mileage reimbursements, Travel Expense Claims; and Requests for Travel of up to 60 Fellows
    • Develop procedures for setting up subcontracts with community partners; develop purchase requisitions; process invoices; Submit payments for Year 1 and Year 2 subcontracts
    PERSONNEL
    • Coordinate hiring procedures for College Corps faculty and AmeriCorps VIPs, prepare honorarium requests and payments;
    • Create Employment Status Forms for College Corps staff and faculty. Keep forms updated according to grant guidelines.
    • Coordinate the onboarding process for new Fellows, including background checks, entry into e-grants and AmericaLearns platforms
    • Supervise student assistants in the procedures for mileage reimbursements
    COURSE SCHEDULING
    • Oversee the process of registering students in the service learning and College Corps courses; with the Co-PIs, develop the teaching schedule for faculty and the enrollment process for Fellows.
    COLLEGE CORPS FELLOWS
    • Approve Fellows' hours on AmericaLearns
    • Create hours reports from AmericaLearns for staff and required reporting from California Volunteers.
    • Facilitate the interface between S4 (My SLP) and College Corps registration of hours, applications, evaluations.
    GENERAL ADMINISTRATIVE FUNCTIONS
    • With leadership team, develop direction and evaluation of the program
    • Coordinate the documentation of files of all correspondence, reports, procedures, and presentations related to the College Corps program
    • Communicate clearly and effectively with individuals and groups of varying ages and cultural backgrounds to disseminate information, resolve problems, and clarify solutions
    • Handle sensitive and/or confidential documents and information where judgment and discretion are essential.
    OTHER FUNCTIONS
    • Promotes and maintains an atmosphere of excellent internal and external customer service within the department and the campus community.
    • Attends workshops, conferences as needed.
    • Performs other duties as assigned.

      1. 80% minimum in-office/on-site following the initial training period. Position location may change based on CSU expectations and department needs.

    MINIMUM QUALIFICATIONS
    Education and Experience:
    • Two years of professional level experience in administration of grants, grants management
    • Experience in hiring procedures, reimbursements, budget reconciliation
    • Working experience with first-generation, low-income youth and/or college students

    The annual salary range for this position is $66,560-$72,000. Classification: Grade 4, Staff. This is an exempt position and as such is not eligible for the overtime provisions of the Fair Labor Standards Act.
