    The main purpose of the Executive Assistant for Advancement Leadership is to provide strategic support to the Sr. Vice President and Executive Director of Advancement.

    In this role, the Executive Assistant will work alongside Advancement Leadership to effectively facilitate communications, manage calendars, prepare materials, oversee special projects, and ensure the highest quality donor care.


    Job Responsibilities:
    Communication


    • Work closely with the Advancement Leadership assisting with written and verbal communication to major donors of the Seminary.
    • Answer phones for Advancement Leadership when they are not available.
    • Manage various requests from donors as quickly and graciously as possible,
    (i.e., facilitating gifts, sending requested materials, and answering questions); building relationships with donors whenever possible.


    • Keep notes during meetings with special attention to action items in need of follow-up.
    • Prepare donor cards - monthly birthday and anniversary cards, yearly Easter, Christmas cards, and other cards as needed for Advancement Leadership.
    • Update the Studio Enterprise database with information changes and record points of communication.
    Project Management


    • Prepare materials for international donor trips.
    • Work with the Marketing & Communications department to design graphics for promotional materials and make tour journals.
    • Send promotional emails for tours.
    • Order and prepare special gifts for guests.
    • Design and print cards for tour leaders to take on the tours for guests.
    • Work closely with our Tour Manager at Morning Star Tours to best serve the donors and guests.
    • Manage the tour budget.
    • Collaborate with Sr. Vice President to co-write monthly reports and biyearly presentation materials for Board meetings.
    • Assist with special initiatives (i.e., video shoots, thank-a-thons, interviews for articles).
    Scheduling and Planning


    • Coordinate with the Office of the President for donor visits.
    • Maintain general office management.
    • Update the Advancement shared calendar.
    • Help with department planning - Advancement/Foundation staff Christmas party, Adv/Fdn celebration lunch, fiscal year end New Year's party.
    • Schedule meetings as needed.
    • Facilitate staff devotional sign ups.
    Financial Management


    • Complete expense reports, invoices, and reimbursements for Advancement Leadership.
    • Oversee the Advancement budget as budget manager alongside the Sr. Vice President and Executive Director.
    • Help with Impact Partner Luncheon gift processing (3-5 times per year)
    Job Qualifications


    • Excellent Communication Skills (written and verbal).
    • Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
    • Highly relational.

    • Exceptional Organization Skills.
    • Strong project management skills.
    • Skilled at multitasking.
    • Able to set boundaries and work through office interruptions and distractions.
    • Works with diligence, integrity, and confidentiality.
    • Comfortable with managing a budget.
    • Experience working with databases is a plus.
    • Previous office experience preferred.
