- Conduct regular walkthroughs to ensure the workplace is clean, organized, and presentation-ready at all times.
- Proactively address readiness gaps (room condition, furniture alignment, supplies, amenity functionality) before they impact employees or visitors.
- Own the last-mile experience: ensure shared spaces feel effortless, polished, and consistently ready.
- Perform meeting, training, conference, and event room setups and teardowns, including furniture movement and configuration.
- Reset restricted, specialty, and shared spaces to standard layouts on a recurring basis.
- Ensure rooms meet quality, safety, and readiness standards prior to use.
- Stage spaces to a premium standard (clean lines, consistent layout, tidy cables/AV readiness as applicable).
- Install, adjust, repair, and maintain office and system furniture throughout the building.
- Perform weekly and as-needed furniture resets to maintain standard layouts and support evolving workplace needs.
- Coordinate with and occasionally oversee external furniture installers or moving crews.
- Conduct furniture warranty assessments and work with vendors to resolve repairs and replacements.
- Document as-built layouts and update AutoCAD / FM Systems to reflect current conditions.
- Assist with equipment and furniture validation walkthroughs to ensure spaces are delivered correctly.
- Maintain employee work areas, and meeting and gathering spaces so they are fully stocked, clean, and ready for use throughout the day.
- Replenish consumables and keep storage areas organized, labeled, and audit ready.
- Perform non-mechanical preventive maintenance and light troubleshooting on amenities (coffee machines, Bevi units, bottle fillers/filter changes, clock resets, and similar tasks).
- Coordinate service calls and follow up to ensure issues are resolved quickly and spaces return to a premium-ready state.
- Perform light preventive maintenance on workplace equipment and amenities to support safe, functional, polished spaces.
- Complete minor non-mechanical repairs that reduce escalations and allow building mechanics to focus on core building systems.
- Support daily readiness of the employee onsite fitness center to ensure a safe, clean, and welcoming environment.
- Perform preventive maintenance and basic inspections of fitness equipment; coordinate repairs or service calls as needed.
- Lead equipment orientations and tours for new employees, ensuring safe and appropriate use of fitness amenities.
- Serve as a visible, approachable point of contact for employees using the fitness center.
- Provide premium, polished employee experience support and maintain positive relationships with employees, leaders, and partners.
- Partner with internal teams and external vendors to fulfill workplace needs (Workplace Solutions, Facilities Operations, Event Planning, Security, Catering, etc.).
- Use systems such as weThrive, Outlook, and CAFM to manage requests, maintain room information, and provide timely updates.
- Order and maintain inventory of supplies and small parts needed for workplace readiness and scheduled maintenance.
- Keep storage rooms and equipment areas organized, safe, and professional appearance.
- Follow all safety protocols and complete work professionally and neatly with care for occupied environments.
- Support cross-functional initiatives, facility projects, and workplace programs through hands-on execution.
- Assist with office moves, ergonomics tasks, and broader workplace services as needed.
- 3+ years of experience in workplace services, meeting/conference services, facilities support, hospitality operations, or corporate workplace services.
- Demonstrated white-glove service mindset: premium presentation standards, proactive attention to detail, and pride in delivering a polished employee experience.
- Ability to thrive in a fast-paced environment with professionalism, poise, and sound judgment.
- Strong organizational skills: able to manage multiple priorities and adapt to changing daily needs.
- Proficiency in Microsoft Office (Teams, Outlook). Familiarity with FM Systems, AutoCAD, Cricut, or ability to learn quickly.
- Ability to work primarily onsite in an active role and perform hands-on tasks throughout the day.
- Strong attention to detail, decision-making, prioritization, and problem-solving skills.
- Excellent communication and collaboration skills; calm, professional presence in an occupied workplace.
- Works well independently and as part of a team; takes pride in visible, high-quality outcomes.
- Must be able to lift and carry up to 25 lbs regularly.

Description

In this role, "white-glove hospitality" means a premium, polished experience delivered with consistency and precision-spaces that are always presentation-ready, details handled before they're noticed, and service that feels effortless to employees and visitors.
This is a primarily onsite, hands-on role. You'll spend most of your day on the floor resetting spaces, setting up rooms for meetings and events, maintaining and stocking break and gathering areas and amenities, supporting the onsite fitness center, and completing light non-mechanical preventive maintenance to keep the workplace "camera-ready" every day. While occasional administrative tasks may be completed remotely as needed, the core of the role requires a consistent physical presence in the workplace and is not a desk-based administrative or scheduling position.

Onsite Expectations:
This role is primarily performed onsite and requires frequent movement throughout the workplace to complete space setups, furniture resets, stocking, amenity checks, and gym support.
Most of the workweek is spent physically present in the building, supporting the employee experience and workplace readiness.
Occasional administrative work (documentation, system updates, coordination) may be completed remotely when appropriate; however, onsite presence is essential to success in this role.
