Client Service Representative (CSR) – Urgent Care Veterinary Hospital
Location: Heritage Animal Hospital
Position Type: Full-Time or Part-Time
Schedule Requirements:
- Friday: 4:00 PM – 2:00 AM
- Saturday: 4:00 PM – 2:00 AM
- Open all day Sunday into Monday morning
- Weekend Availability:
- Required
Position Overview
Heritage Animal Hospital is seeking a compassionate and dependable Client Service Representative (CSR) to join our urgent care team. As the first point of contact for clients and their pets, this role is essential in creating a welcoming, supportive, and efficient experience—especially during high-stress or emergency situations.
The ideal candidate thrives in a fast-paced environment, communicates with empathy and professionalism, and understands the importance of both accuracy and compassion in veterinary medicine.
Key ResponsibilitiesClient Care & Communication
- Greet clients and their pets warmly and professionally
- Answer phone calls promptly, addressing questions and concerns with empathy
- Schedule appointments and manage the hospital calendar efficiently
- Provide exceptional customer service, helping to de-escalate stressful situations when needed
Administrative Duties
- Check clients in and out, ensuring patient information is accurate and up to date
- Process payments and financial transactions accurately
- Maintain organized and detailed patient records, including medical and billing information
Hospital Support
- Prepare and tidy exam rooms as needed
- Maintain a clean, organized, and welcoming reception area
- Follow all hospital policies, safety standards, and operational procedures
Qualifications
- High school diploma or equivalent preferred
- 1–2 years of experience in an urgent care or emergency veterinary setting preferred
- Strong interpersonal and communication skills
- Excellent organizational and multitasking abilities
- Proficiency with computer systems and veterinary software (experience with ezyVet and SmartFlow is a plus)
- Ability to remain calm and efficient in a fast-paced, high-stress environment
- Compassion and empathy for both animals and their owners
- Familiarity with medical terminology and general veterinary procedures
- Basic knowledge of animal handling, restraint, and kennel management
