    Job Summary:


    The Getty Research Institute (GRI) seeks a Budget Coordinator to monitor budgets and expenditures and perform associated duties for a variety of departments within the Collections & Discovery division, including the Chief Librarians Office, Research Services & Collections, Special Collections Management, Conservation & Preservation, Institutional Archives, and Associate Director, Collections & Discovery.


    Working closely with senior department managers, the GRIs Senior Budget Analyst and other members of the GRI Administration Department, the Budget Coordinator ensures that all aspects of the various department budgets and other duties are handled in accordance with established Getty Trust protocols and procedures.


    As this position works closely with a variety of supervisors and other staff on critical tasks with many deadlines and associated pressures, the successful candidate will enjoy interacting diplomatically with others and exude a calm, self-assured, and professional manner.


    Major Job Responsibilities:
    Applies comprehensive knowledge of budget review and evaluation to prepare budgets and updates
    Budget coordination, preparation, and ongoing review
    Coordinates with various department heads and Senior Budget Analyst, reviews, evaluates, and completes budget proposals for the upcoming fiscal year, including complex travel spreadsheets for each department, and provides quarterly updates
    Tracks budget spending throughout fiscal year; prepares reclasses, prepares quarterly budget reports, ensures accurate maintenance of files and records, notes and evaluates and reports on discrepancies between budgets and actual expenditures
    Installs and maintains budgetary controls
    Purchasing, payment, and other contractual arrangements
    Develops, submits, and tracks requisitions, contracts, and other documents for the many activities of the various departments;coordinates and communicates between the requesting department(s), GRI administration, and Getty's centralized procurement office
    Submits purchase orders and pays invoices within assigned areas
    Getty Library Research Grants (LRG) fiscal management
    Works closely with the Chief Librarian throughout the year, participates in the entire LRG grant cycle and tracks and monitors grant amounts from various sources
    Participates in the administrative work of the various Collections & Discovery departments
    May help various staff assistants with travel and expense reports
    May provide backup for ordering supplies
    May help train junior administrative staff
    May help coordinate temporary staff, including student workers, volunteers, interns
    Other duties as assigned


    Qualifications:
    Bachelor's degree in Business, Accounting or Finance
    3-5 years experience in accounting or budgeting


    Knowledge, Skills and Abilities:
    Strong verbal and written communication skills
    Strong math, reasoning and problem solving skills
    Strong attention to detail
    Ability to work easily with a wide variety of staff at all levels within the GRI and throughout the Getty
    Strong computer skills and experience with office software, email applications and financial reporting systems applications
