Job DescriptionWe are seeking a dedicated Administrative Assistant to provide crucial support to our Private Wealth Mangers and Case Design team in managing administrative tasks and ensuring the smooth operation of our office. This fast-paced position involves working behind the scenes to manage workflows, collaborate within a team-based environment, and process post-meeting tasks efficiently. The ideal candidate will be highly organized, detail-oriented, and proficient in administrative duties.
Key Responsibilities:
• Assist the Private Wealth Managers and Case Design team in managing workflow and prioritizing tasks effectively.
• Collaborate with team members to ensure seamless coordination of administrative functions.
• Process post-meeting tasks as outlined on agendas, including follow-up actions and documentation.
• Accurately prepare, submit, and track account maintenance paperwork in accordance with the Firm's guidelines.
• Utilize CRM (Customer Relationship Management) database to enter tasks, track open tasks, and follow up on pending items.
• Maintain physical and electronic filing systems to ensure easy retrieval and organization of documents.
• Maintain confidentiality and discretion when handling sensitive information. Qualifications:
• Proven experience in an administrative support role, preferably in a financial or professional services environment.
• Strong organizational skills with the ability to manage multiple tasks and deadlines effectively.
• Excellent attention to detail and accuracy in paperwork and data entry.
• Proficiency in using CRM software and other office productivity tools.
• Ability to work collaboratively in a team-based setting and communicate effectively with colleagues and clients.
• Knowledge of financial terminology and account management processes is a plus.
• High level of professionalism, integrity, and discretion in handling confidential information.
• Strong written and verbal communication skills.
Education and Experience:
• High school diploma or GED required. Some college coursework preferred but not required.
• Previous experience in financial services or administrative support roles is desirable but not required.
Compensation & Benefits:
• Competitive salary – (Annual Salary Range: $45,000 - $55,000 based on experience).
