Job Description
We are seeking a full-time Lead Management Specialist & Office Assistant. This dual-role combines front-line lead management with essential administrative office support. You will be the first point of contact for incoming leads – qualifying prospects and booking appointments while keeping our office operations running smoothly.

Location: Office – Schererville, Indiana (On-Site)
Employment Type: Full-Time
Pay: $18.00-$22.00 per hour
Tools & Systems: ClickUp CRM, LMN, QuickBooks, Google Calendar, Google Drive, Gmail, Aircall
Key Responsibilities-Lead Management Specialist
- Respond to all new leads within 5 minutes – Speed = Sales (5-Minute Rule strictly enforced)
- Qualify incoming leads using standardized questions and scripts
- Book qualified leads directly into sales rep calendars
- Enter all lead information accurately into ClickUp CRM
- Execute a structured 6-touch follow-up sequence for all active leads
- Monitor leads from Google Ads, Facebook, website, and other platforms
- Review overnight leads each morning and begin outreach immediately
- Confirm appointments 24 hours and 1 hour in advance via call and text
- Maintain 100% same-day contact rate and achieve 30%+ lead-to-appointment conversion
- Coordinate with sales reps on lead assignment and scheduling
Key Responsibilities-Office Assistant
- Answer phones, greet walk-in clients, and handle general inquiries professionally
- Manage and respond to emails related to client inquiries, proposals, and operations
- Schedule appointments and manage office calendars
- Process signed proposals and manage change orders, including deposits
- Handle financial transactions, process receipts, and reconcile accounts
- Manage vendor payments and assist with invoice tracking
- Process mail, make bank deposits, and manage incoming/outgoing correspondence
- Utilize ClickUp and LMN for daily task management and updates
Key Performance Indicators (KPIs)
- Lead Response Time: Under 5 minutes (Critical)
- Same-Day Contact Rate: 100% (Critical)
- Lead-to-Appointment Conversion Rate: 30%+
- Appointment No-Show Rate: Below 10%
- 6-Touch Follow-Up Completion: 100%
- Appointments Booked: 15+ per week
- Response Time: 90% within 24 hours
- Client Satisfaction: 85%+ positive ratings
Qualifications
- Strong communication skills – confident on the phone and in writing
- Highly organized with ability to manage multiple tasks simultaneously
- Comfortable working with CRM systems and digital tools (ClickUp, LMN, QuickBooks a plus)
- Self-motivated and able to work independently with a sense of urgency
- Detail-oriented with excellent follow-through
- Experience in customer service, sales support, or office administration preferred
- Landscape or home services industry experience is a plus but not required
- Proficiency with Google Workspace (Gmail, Google Calendar, Google Drive)
