    Description


    The Service Coordinator is responsible for providing effective customer service for all internal and external customers by using knowledge of company products and services as well as communicating effectively with team members within multiple service departments.

    This Office Coordinator provides administrative support relating to service work orders, project documents, basic accounting tasks, and payroll/time entry.

    Responsibilities:


    Assist in management of administrative aspects of the Service department including filings, documentation, invoicing, past due account reporting, customer service, estimating and sales reporting, signature requests, lien waivers, certificates of insurance, permits, etc.

    Assist Service Manager and Service Superintendent with project management, including labor tracking, permits, contract coordination, purchasing, lien waivers, etc.
    File and maintain hard-copy files/documents and(or) electronic files.
    Create and maintain reports for the Service department as required.
    Update electronic information in company software, for accuracy and completeness.
    Answer in-person, phone, fax, and email inquiries and obtain information for customers and internal departments.
    Assist with departmental needs relating to service operations, customer service, sales, or general administration.
    Create and bill service tickets.
    Frequent customers contact (phone/email) as needed.
    Coordinate and track in process contract documents.
    Assist with project adjustments.
    Process Tecta Tracker inspection reports
    Monitor and update service bid list
    Basic accounting and payroll
    Be able to become familiar with customer portals for work requests, invoicing, etc.

    Requirements:
    High School Diploma or equivalent, college preferred
    Prior customer service experience working in the construction field strongly desired.
    Ability to multi-task,

    prioritize, and manage time effectively.
    Problem Solving Ability with the ability to manage challenging professional relationships.
    Documentation Skills
    Microsoft Office Suite experience, especially Excel and Word
    Superior Listening and Communications Skills
    Ability to speak, read and comprehend instructions, short correspondence, and policy documents, as well as converse comfortably with associates.
    Demonstrate capability to interface and maintain effective relationships with all levels of employees in a team-oriented environment.
    Bilingual English/Spanish a plus
    Experience working with tablets
