    We seek a detail-oriented and organized Part-Time Administrative Assistant to join our team. As an Administrative Assistant, you will support daily office operations and ensure smooth administrative processes. This position offers an excellent opportunity to gain valuable experience in a professional setting with part-time hours.

    Responsibilities:


    • Works independently to support Executives with administrative tasks (sometimes confidential).


    • Provide administrative support to the office team, including managing email correspondence, responding to phone messages, and handling inquiries.


    • Maintain and file accurate physical and electronic records and databases by entering and updating information promptly.


    • Keep abreast of the leadership team's critical issues, commitments, and priorities.


    • Perform market research activities.


    • Prepare and edit corporate documents (e.g., presentations, meeting materials, corporate reports, correspondence, etc.).


    • Assist in coordinating and maintaining calendars, including scheduling meetings and assisting with organization events.


    • Assist with special projects and initiatives as assigned, including research, data analysis, and presentation preparation.


    • Assist with making travel arrangements, including booking flights, hotels, and transportation as required.


    • Support expense tracking and reporting processes by collecting receipts, coding expenses, and submitting reimbursement requests.


    • Coordinate registrations for conferences and tradeshows, including exhibiting and sponsoring.


    • Handle miscellaneous tasks and errands as needed to support the efficient operation of the office.

    Qualifications

    Minimum Qualifications:


    • Associate degree in English, Communications, or Business Administration, or relevant discipline.


    • Experience performing administrative tasks for multiple individuals.


    • Ability to handle matters expeditiously and proactively, meet deadlines, follow through on projects to successful completion, and exercise sound judgment and decision-making.


    • Strong verbal and written communication skills are essential for interacting with team members and external parties.


    • Demonstrated ability to prioritize tasks, manage time effectively, and maintain attention to detail in a fast-paced environment.


    • Comfortable using Microsoft Office 365, Google, and other relevant software applications.


    • Punctuality and reliability are critical for this role, and the ability to maintain confidentiality.


    • Willingness to adapt to changing priorities and take on new responsibilities as needed.


    • Welcoming and professional demeanor interaction with clients and guests.


    • While not required, 12 months of previous experience in an administrative role or similar position is preferred.

    Preferred Qualifications:


    • Bachelor's degree highly desired. At least two years of experience performing a similar function.


    • Detail-oriented work ethic and ability to manage multiple assignments simultaneously.


    • Excellent oral and written communication skills in English grammar, mechanics, and usage.


    • Advanced computer skills (Microsoft Office 365, Google Workspace, Adobe Acrobat, Canva, ZOOM, etc.).


    • Must be proactive with the ability to work autonomously with reliable follow-through and meet deadlines.


    • High level of professionalism and ability to collaborate with all levels of the organization.
