    About the Role

    We are a growing federal contractor and telecommunications services provider seeking a highly organized and analytical Accounting & Contracts Manager to support accounting operations, government billing, and subcontract/contract administration. This role requires independent judgment, strong accounting knowledge, and the ability to interpret and manage contractual language in the ordinary course of business.

    This is a remote, part-time position with flexible hours and the opportunity to expand into a full-time leadership role as the company grows.

    Role Context

    This position is being created to bring accounting and contract administration functions in-house that are currently supported by an external accounting firm. The outside firm presently spends approximately 40–45 hours per month on accounting and billing operations, including accounts payable, accounts receivable, government invoicing portals, and monthly close activities.

    We anticipate that a portion of these accounting hours will transition internally, while additional available time will be dedicated to subcontract execution, contract administration, and compliance support as the role matures. This structure provides a clear starting workload with meaningful opportunity for expansion in responsibility and hours over time.

    Ideal Candidate Profile

    A mid-career professional comfortable wearing both accounting and contract administration hats, who enjoys process ownership, works well independently in a remote environment, and is interested in growing with a small but expanding federal contractor.

    Key Responsibilities

    Accounting & Financial Operations

    • Perform monthly close independently in QuickBooks Online
    • Bank and credit card reconciliations
    • Accrual entries and expense recognition
    • Maintain organized digital financial records and documentation
    • Coordinate with external CPA firm for periodic reviews and tax matters
    • Support payroll coordination and 1099/vendor setup as needed
    • Assist with cash-flow tracking and internal financial reporting

    Billing, Accounts Payable & Receivable

    • Retrieve and process vendor and carrier invoices from online portals
    • Enter bills into QBO and prepare payment batches for management approval
    • Prepare and submit invoices to government portals (e.g., WAWF/PIEE and agency systems)
    • Monitor AR aging and follow up with agencies or clients regarding payment status
    • Reconcile incoming payments and maintain billing trackers and schedules

    Contract & Subcontract Administration

    • Draft, review, and execute subcontracts and purchase orders
    • Interpret contractual terms including payment clauses, insurance, indemnity, and flow-down provisions
    • Use AI/LLM tools to review proposed contract modifications, identify deviations from standard terms, and prepare summaries for management or counsel review
    • Conduct ordinary-course negotiations with subcontractors and vendors
    • Escalate non-standard or high-risk language to counsel or senior management
    • Maintain organized contract files, task order logs, and compliance documentation

    Compliance & Regulatory Support

    • Assist with periodic filings (sales tax, telecom regulatory, and state reporting)
    • Maintain vendor W-9s and certificates of insurance
    • Support audit readiness and internal compliance tracking

    Qualifications

    Required

    • 5+ years experience in accounting, bookkeeping, financial operations, or contract administration
    • Demonstrated experience with contract or subcontract administration
    • Strong understanding of financial statements and independent month-end close processes
    • Proficiency in QuickBooks Online and Excel / Google Sheets
    • Ability to interpret contractual language and negotiate routine terms independently
    • Strong organizational skills and ability to work independently in a remote environment

    Preferred

    • Experience with government contracting or federal billing portals (WAWF/PIEE, USAC, etc.)
    • Construction, telecom, or professional services accounting experience
    • Familiarity with FAR flow-down clauses and subcontract structures
    • Experience with Gusto payroll platform
    • Comfort using AI/LLM tools (e.g., ChatGPT, Claude) to analyze contract language, flag non-standard terms, and draft redlines
    • Associate's or Bachelor's degree in Accounting, Finance, Business, or related field

    Compensation

    $40 – $55 per hour (W-2), depending on experience

    At ~20 hours per week, this equates to approximately $41,600 – $57,200 annually, with opportunity for increased hours and full-time conversion as responsibilities expand.
