    EXECUTIVE ADMINISTARTIVE ASSISTANT
    TO THE ASSISTANT SUPERINTENDENT OF TEACHING & LEARNING

    The Executive Administrative Assistant is an exceedingly responsible, high-level administrative position.

    This position is distinguished by the confidential nature and level of responsibility, contact with Board members, administrators, and other community and governmental agency representatives.


    Responsibilities:

    • Serves as confidential, and technical assistant to the Assistant Superintendent
    • Serves as liaison to the public and staff, students, and parents in regard to Board of Education policies, procedures, and records
    • Maintains Assistant Superintendent's calendars; schedules, & related appointments.
    • Makes arrangements for conferences, workshops, and in-services including, preparing materials, and analyzing curriculum data
    • Assists the Assistant Superintendent in achieving the Superintendent's goals and goals of the district
    • Ascertains name and purpose of Assistant Superintendent's callers and visitors
    • Composes and prepares correspondence for the Assistant Superintendent's signature and/or staff members
    • Gathers information and reports to the Assistant Superintendent regarding school concerns, district policies, and procedures
    • Uses judgment in determining the sensitivity of an issue or inquiry (based on public relations considerations, Board of Education policies, and procedure), and personally gives information or forwards contact to the appropriate source
    • Responsible for the efficient operation of the Assistant Superintendent's Office
    • Prepares agenda and materials for meetings
    • Uses strong analytical skills to compose meaningful reports relative to student data.
    • Assist with the coordination of interviews for the hiring of department personnel.
    • Assists the Assistant Superintendent in coordinating with district departments and leaders to resolve student/parent complaints
    • Honors confidentiality in all matters
    • Promotes good public relations through effective communication
    • Promotes good safety practices and procedures
    • Performs additional related work as directed by the Assistant Superintendent

    Requirements:

    • Baccalaureate Degree or five years of responsible high-level administrative experience
    • Spanish-speaking preferred but not required.
    • Overall high level of Executive Functioning and organizational skills
    • Extensive knowledge of the organization and functions of the Board of Education
    • Considerable knowledge of the policies, responsibilities, functions, practices, and resources of the district
    • Extensive knowledge of office practices and procedures,
    • Excellent interpersonal skills as it pertains to staff, parents, and the general public
    • Proficient computer skills - Word, Excel, PowerPoint
    • Maintains confidentiality at all times
    • Establishes, maintains, and retrieves records and information resources
    • Provides courteous and efficient service to callers and visitors
    • Uses accurate judgment in deciding matters needing the attention of the Assistant Superintendent of Teaching & Learning or other administrators and in the personal supplying of requested information
    • Ability to be flexible and adapt to changing situations
    • Ability to anticipate and prepare materials needed for meetings, procedures, and events
    • Communicates ideas and directives clearly and effectively both orally and in writing
