    Description

    Provide administrative support to the Vice President for Advancement in the overall management of institutional external relations including fundraising activity, prospect strategy and management, campaign strategy, alumni relations, parent relations, trustee relations, presidential travel and advancement communications. Due to the extremely sensitive nature of advancement activities and personnel matters, a high level of confidentiality must be maintained at all times - therefore a primary component of this position is the exercise of independent judgment and discretion. Major Areas of Responsibility
    • On behalf of the Vice President for Advancement, funnel, filter and facilitate information for and with internal and external stakeholders. Examples include handling diverse inquiries from staff, donors, parents, volunteers, trustees, campus community and the general public.
    • Coordinates and manages a comprehensive calendar for the Vice President for Advancement. Includes coordination with and collaborating with other senior leadership offices.
    • Plans and coordinates all staff meetings and events as assigned, working with on and off campus service providers.
    • Coordinates and manages an extensive travel schedule for the Vice President for Advancement and manages travel logistics for both the President and the Vice President for Advancement when they are traveling together.
    • Facilitates, prepares and manages the presidential briefing process needed for presidential travel and events coordinated by the Office of Advancement. These include research briefings, event briefings, speeches, remarks and other items as needed.
    • Plans, supports and staffs Board of Advisors related activities, including but not limited to executive committee and board meetings.
    • Supports logistics for campaign executive volunteer support, meetings and interaction including the campaign chairs, the campaign executive committee and the campaign cabinet.
    • Prepares and manages all business transactions for the Vice President for Advancement including P-Card receipts, expense reports, contracts, retainers, etc.
    • Updates trustee and top prospect individual donor files.
    • Supports logistics for campaign consultant meetings and on-going retainer work.
    • Completes special projects and performs other duties as assigned by the Vice President and/or the Office of the President.
    Minimum Qualifications
    • Bachelor's Degree preferred or 3+ years of relevant experience
    • Minimum of at least 3 years of post-college experience, preferably in an educational/business environment, development setting or equivalent
    • Expert computer proficiency in these areas: Windows, Internet Explorer/Safari/Google Chrome and Microsoft Office including Excel, Word and PowerPoint
    • Relational database management experience preferred
    • Experience in event planning and board management preferred
    • Proficient in the principles and methods of business correspondence and report preparation
    • Proficient editing and proofing capacity
    • Proficient in advanced record keeping methods
    • General understanding of methods of budget preparation and financial record keeping
    • Strong deductive reasoning skills
    • Experience as an independent self-starter
    • Experience managing confidential information
