    JOB DESCRIPTION

    JOB TITLE: Secretary I - Assessment Team FLSA STATUS: Non-Exempt
    REPORTS TO: Principal PAY GRADE: CLS-07

    * Compensation is based on a 192 day classified agreement with additional days paid at a per-diem rate based on the approved 192 day contract.

    JOB PURPOSE SUMMARY
    The Secretary I - Assessment Team will provide specialized and complex support for a Special Education Assessment Team so that the operation of that unit is able to operate in an efficient, effective, responsible and professional manner. Provides clerical and translation support to the Assessment Team in scheduling IEP Committee meetings in a timely fashion, supporting filing and organizing special education documentation and maintaining communication with parents, administrators, teachers and support service providers. Provide written and verbal translation services in Spanish and English.

    Demonstrated broad knowledge of major educational business office administrative support secretarial functions, modern office terminology, procedures, and equipment
    Ability to use personal computer and software to develop spreadsheets and databases, and do word processing
    Proficient keyboarding, file maintenance, and 10-key skills
    Ability to meet established deadlines
    Strong communication skills, both orally and in writing
    Ability to interact with top level officials and all staff with tact, courtesy and diplomacy
    Ability to follow complex oral and written instructions
    Ability to maintain a high level of confidentiality concerning district, personnel, customer and vendor information

    KEY FUNCTIONS, ESSENTIAL DUTIES AND RESPONSIBILITIES
    General
    • Develop a calendar and schedule Assessments for the Assessment Team.
    • Prepare and mail IEP notices within the required timelines.
    • Compile and post IEP Committee meeting calendar and keep updated.
    • Maintain special education files for each student in accordance with district guidelines.
    • Notify parents of assessment and/or IEP meetings in a timely fashion.
    • Assist in making copies and the distribution of documents including IEP's, to campus staff.
    • Provide and maintain good public relations with team members, administration counseling staff, students and parents.
    • Maintain up-dated student database with contact information.
    • Provide translation and interpretation services in Spanish and English.
    • Function as a communication link between limited English speaking families and Adams 14 school/district personnel, translating and/or interpreting faithfully and always conveying the thought, intent, and spirit of the speaker, while maintaining confidentiality, and impartial attitude, and professional demeanor at all times.
    • Provide written translation services in Spanish/English for school/district- needs, including but not limited to: special education documents, including 504 Plans and Individualized Education Program (IEP),written information related to academic performance, expulsion letters, attendance contracts, student conduct notifications and contracts, school medical records and any other school and/or district forms, safety documents, and policies/procedures.
    Records and Reports
    • Maintains required special education records.
    • Compile, maintain, file, and distribute all reports, records, and other documents as required following established procedures.
    • Keeps informed of and complies with state and district policies and regulations.
    Other
    • Assist in the office as needed.
    • Participates in training sessions, faculty meetings, and special events, as required.
    • Maintain confidentiality.
    • Follow district safety protocols and emergency procedures.
    • Perform other job-related duties as assigned by the Director of Special Education or designee.

    Physical Demands: While performing the duties of this job, the employee is occasionally required to stand, climb or balance, stoop, kneel, crouch, or crawl. The employee must regularly lift and/or move up to 40 pounds.

    Work Environment: While performing the duties of this job, the employee will work primarily in offices and testing locations. The Employee may be required to work from a remote location in the event of a district shut-down or other event. The employee may be required to work evenings and weekends during enrollment / registration periods and attend events where community members are in attendance.

    Mental Functions: While performing the duties of this job, the employee is regularly required to communicate, compare, analyze, coordinate, instruct, evaluate, and use interpersonal skills. Occasionally required to compile, copy, compute and negotiate.
